The role

This role makes our Management Team look amazing. It unlocks the potential of our Management Team by acting as a strong foundation for a smooth internal running-of-show for the day to day. Works in partnership with leadership to refine needs and determine priorities across multiple teams. Partners with counterpart EA’s, and cross functional teams to build ongoing understanding of the agency’s ever-changing priorities. This role supports three people: Managing Director, and two Executive Creative Directors.

In this role, what you’ll do:

Strategic partnership:

Act as a thought and accountability partner for the executive team – making sure their time is focused on the most impactful and highest-leverage priorities, helping them reach their fullest potential as a leadership team.
Consistently gather the most relevant information, ensuring they understand what is coming up and are always prepared.
Partner with the ET on strategic planning across the organization. Establish regular updates on progress, ensure the executives are not caught off guard and are briefed on incoming urgent matters.
Develop partnerships with cross functional leaders.
Builds understanding of agency dynamics, maintaining a sense of communication.
Be thoughtful and discerning with sensitive information – demonstrating professionalism when working on confidential business and organizational issues.

Daily stewardship:

Ensure smooth running of schedules, including briefing on anticipated problems or issues and allows for space to get to the best work. Prioritizes multiple tasks and distinguish between ‘urgent’ and ‘important’
Remain calm under pressure, working with big personalities across the organization in a fast-paced environment, where no two days are the same.
Keep on top of organizational changes around operational activities (org updates, org announcements, hiring, strategic planning process, hiring updates).
Attend meetings alongside executives as needed, serving as their proxy to help “multiply” their time and oversee critical initiatives.
Oversee planning, execution, and support of necessary off-sites, executive leadership meetings, as well as content and needs related to all-agency meetings.
Pick up on patterns, and is insightful about processes or behaviors that could be evolved to function better.
Proactively make suggestions about how we could evolve the way we manage our time to better support ourselves, the agency, the people and the work.
Seek and facilitate opportunities for executives to have positive connections with counterparts and team members.

Administrative:

Manage operations of team drives, team member lists and team calendars.
Prepare and completes timesheet submissions for all supporting Directors
Prepare and submits expense reports for all supporting Directors
Coordinate travel for Directors by working with W+K Travel

The qualities and experience you bring:

5+ years of executive-level support experience
Emotionally intelligent, independent and thoughtful decision maker.
Strong people- and office-management skills.
Flexibility to respond to needs outside of normal working hours in a timely manner, as necessary.
Exceptional initiative, attention to detail and follow through skills
Expert in G Suite and curiosity for discovering new collaboration tools as needed
Basic presentation design skills a must
Able to handle confidential information with discretion
Ability to effectively and appropriately interact with co-workers at a variety of levels, across many disciplines
A proven track record of gaining trust and respect by consistently demonstrating sound critical thinking skills and maintaining composure in stressful situations
Exceptional ability to communicate with all levels of employees, vendors and clients
Thinks clearly under pressure, remaining flexible and managing challenging deadlines/stressful situations with confidence
