Job Description : Job Overview: This position serves as an Administrative Assistant for the Rehabilitation Department and the Therapeutic Learning Center. Other responsibilities include: 1) Attending meetings, taking notes, and transcribing minutes; 2) Sorting and querying data for requested reports; and 3) Communicating program updates to staff through written and verbal correspondence.

Essential Functions (Major Duties or Responsibilities):
Administrative Support (60%)
Provides office support to program staff, proofreads documents and creates written correspondence.
Performs office functions such as customer service, mail service, and orders supplies.
Attends meetings, takes notes, and transcribes meeting minutes.
Creates and maintains forms and information boards
Performs data entry, queries data, and creates reports for supervisor’s review.
Arranges conference calls and schedules meetings.
Maintains filing system for all documents.
Program Support (35%)
Monitors and tracks daily attendance of group interventions, new patient admissions, and physician ordered referrals.
Tracks monetary donations and sends confirmation letters.
Enters group information updates into database.
Communicates updates to staff through written and verbal correspondence.
Creates special event flyers and posts memorandums on information board.
Assists in finding coverage for groups and therapeutic activities.
Other Duties as Assigned. (5%)
Escorts patients to group or individual meetings as needed.
Participates with entry-level group coverage as needed such a providing a pre-approved activity worksheet and provides coverage during staff absence.

Physical and Environmental Demands:
Typical office environment with keyboarding responsibilities.

Required for the first day of work:
Knowledge of administrative practices and office procedures.
Knowledge of customer service practices.
Excellent written and verbal communication skills.
Excellent editing and typing skills.
Effective decision-making and problem-solving skills.
Ability to establish and maintain effective work relationships.
Ability to multitask, organize and prioritize work.
Ability to operate personal computer and general office equipment as necessary to complete essential functions, including using spreadsheets, word processing, database, email, internet, and other computer programs.

Qualifications:
Minimum Qualifications (Education and Experience):
High School Diploma or GED
Two years of administrative assistance experience or office support experience.
