Job Description : SummaryDeschutes County is accepting applications for a part-time (32 hours/week) Administrative Support Specialist. This position is responsible for performing a variety of experienced administrative support and technical functions. Incumbents will provide support to Public health teams and clinicians serving the public. Duties include, clerical, technical, and administrative duties, including special projects, special program activities, managing calendars, scheduling meetings and taking notes at meetings to ensure deliverables and action items are well captured, coordinating activities, working with spreadsheets such as excel, google docs etc. data management, and record keeping; tracking clinical timeline and compliance documents; managing assigned special projects for Department programs; assisting with case management, and reviewing and editing technical records; researching and compiling a variety of informational material from external and internal sources into narrative and statistical reports for special projects and technical issues. This union-represented position is available immediately.Minimum QualificationsHigh school diploma or GED equivalent; AND four years of administrative support experience; OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the job.*Preference will be given for: *Bilingual in English and Spanish.Previous experience and/or knowledge working in a Public Health Setting.Experience working with Electronic Health Records systems, specifically ALERT.*Must have knowledge of: *General office procedures and methods.Modern office equipment and software including word processing, spreadsheets, databases, and electronic mail.English usage, grammar, spelling, and punctuation.HIPAA requirements related to client health records.*Must have skill in: *Organizing and managing complex administrative and technical services with minimum supervision.Using initiative and independent judgment within established procedural guidelines.Understanding and applying relevant rules, ordinances, codes, regulations, policies, procedures, administrative orders and other governing regulations.Working independently, maintaining composure and confidentiality, and working effectively in a high-pressure environment with changing priorities.Reviewing, correcting, and maintaining complex public records.Entering data and numerical information into a computer system with speed and accuracy, and maintaining electronic records, files, and databases.Writing professional reports and correspondence from brief instructions.Reviewing documents for accuracy, completeness, and compliance with requirements.Establishing and maintaining cooperative working relationships with co-workers.Communicating effectively verbally and in writing.Multi-tasking.Necessary Special RequirementsPossession of or ability to obtain a valid Oregon driver’s license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver’s license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.*Physical Requirements. *Must have the ability to work in an office that is environmentally controlled; possess sufficient hand coordination to perform keyboarding and data entry; arm/hand movements to retrieve work materials and operate a variety of general office equipment. The position is frequently required to sit, walk, stoop, bend, kneel, reach, stand, grasp, talk, hear, see, and may occasionally lift up to 10 pounds._Deschutes County will comply with the Oregon Health Authority, Public Health Division Oregon Administrative Rule (_OAR 333-019-101) requiring COVID-19 vaccination for employees working in a healthcare setting. It is a requirement of this position that the incumbent provide proof of vaccination status or request and be approved for an exemption based on legitimate medical reasons or sincerely-held religious beliefs (for detailed information on exceptions, please review section (4), (A) and (B)) by October 18, 2021 or their date of hire, whichever is later. Deschutes County provides reasonable accommodation as required by applicable law, and those finalists seeking a reasonable accommodation from the vaccination requirement may submit a copy of the medical or religious exemption form as prescribed by the Oregon Health Authority in order to certify the reasons for requesting an exemption.
