This position is with the Oregon Department of Fish and Wildlife (ODFW) located at the Bonneville Fish Hatchery in Cascade Locks, Oregon.

What you will do:
Greet and direct visitors to appropriate destinations. Handle incoming calls from in and outside of the agency. Answer basic questions about fishing and hunting regulations; provide information about services available. Compile statistics for a variety of reports (e.g., activity, referrals, complaints, training, inspections, travel expenses, and mileage). Type and proofread a variety of correspondence, agendas, forms, and other miscellaneous materials which requires a general knowledge of agency programs and policies. Receive, open and route incoming mail and take outgoing mail to the post office. Maintain hatchery bulletin boards. Schedule maintenance and repairs for office equipment. Answer questions from staff related to travel, leave and other personnel related record keeping. May type, file, sort or generally have access to confidential information, coordinate recruitments, and complete paperwork required for hiring staff.
Responsible for assigning, processing, and reviewing purchase documents for Bonneville Fish Hatchery and codes purchase documents with accounting cost codes and budget charges. Receive and inspect deliveries prior to authorizing purchases. Advise staff regarding price agreements and purchasing procedures. Assist in tracking budgets as directed by the manager. Order hatchery and office supplies, forms, and printed materials. Assist with renewal of the janitorial contract and monitor services for compliance; work with vendor as needed if issues arise and/or additional services are required. Track all fuel usage, purchases, and maintains report. Responsible for tracking employee uniform allowances.
Centralize, organize and maintain safety related documents in one location accessible to all employees. Attend mandatory OSHA training classes with regard to serving on a Safety Committee. Schedule training classes as needed for staff. Provide mandatory training to new employees, students, and volunteers during Safety Orientation. Prepare agenda for Safety Committee meetings, attend all meetings, prepare and distribute meeting minutes, participate with Safety Committee members in quarterly safety inspections, safety issue evaluations and other location specific activities.

Working Conditions

Work is conducted primarily indoors at the front reception desk in a small, busy office at Bonneville Hatchery Monday through Friday from 730AM–430PM. Daily general office environment includes frequent interruptions and background noise from telephone conversations, copy and fax machines, coin machine, ringing telephones and computer equipment.
Regular interaction with the public. Must be able to communicate effectively and respectfully with the public, co-workers and staff. Occasional contact with persons who may be confused, upset or contentious both in person and over the phone.
May walk outside several times a day to pick up and route mail, deliver messages and correspondence to other buildings sometimes in inclement weather including ice, snow, wind, and rain.
May use a SPOTS visa card to make work related purchases.
Criminal Records/DMV Check

Applicants are subject to both a criminal history and motor vehicles check. Driving is required for all positions. Out-of-state finalists will be required to present a current certified driving record for review to be considered for the position. Be prepared to obtain as soon as possible. You are expected to provide the out-of-state certified driving record before an offer can be made unless extenuating circumstances exist. Adverse background and/or driving information may disqualify you from further consideration.

NOTE: Within three days of hire, applicants will be required to complete the U.S. Department Homeland Security’s I-9 form confirming authorization to work in the United States. ODFW participates in E-Verify. ODFW is not able to support VISA sponsorships.
We are seeking applicants who meet the minimum qualifications and have the following skills and experience:
Minimum Qualifications:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents; OR

An Associate degree; OR
Graduation from a private school of business with a certificate and one year of general clerical experience.
Requested Skills:

Working in an office with multiple priorities
Proficiency with Microsoft Excel, Access and Word
Reviewing documents for accuracy and authenticity
General sorting and shipping of mail: UPS, USPS and certified mail
Strong background in customer service
Tracking and updating budget information
