What you will do:
As a Park Specialist at Umpqua Lighthouse State Park , you will coordinate the completion of administrative tasks in the park office and provide accounting, payroll and administrative/clerical support for the Park Manager and staff.
Job Duties :
Administrative & Accounting:
Reviews and checks invoices and monthly statements for mathematical accuracy, completeness, consistency and propriety.
Reviews invoices submitted and verifies accuracy of accounting codes and entry into a Financial Management System (FMS).
Prepares journal entries for corrections or to transfer payments or review to different fund sources.
Provides information and resolves problems about payable, receivables, collections and other information as needed by an auditor, agency or vendor.
Issues refunds to customers.
Reconciles revenue to bank deposit slips and prepares Revenue Reports and corresponding credit card input forms, coding revenue to correct fund sources, entering controlled item data and explaining any overages or shortages.
Budget Tracking:
Provides detailed information in response to manager’s requests to be used in preparation of biennial budget, such as personnel salaries, past equipment costs, utility costs, etc.
Monitors monthly expenditures against adopted budget. Assists management staff in researching and resolving problems regarding projected vs. Actual expenditures.
Reviews and updates monthly attendance reports for camp use, day use and equipment mileages.
Human Resources functions:
Accesses Workday and completes on-boarding tasks.
Get applicant information and schedule interviews for seasonal, temporary and permanent vacancies.
Provides employee orientation for new and returning employees.
Works closely with management in a confidential capacity when handling/processing personnel related documents such as performance appraisals, medical information, and other confidential documents.
Payroll functions:
Reviews employee time sheet for time and coding accuracy.
Views employee leave records to determine number of hours available for use or to be paid off.
Office coordination:
Answers phones and emails to park guests and employees.
Utilizes computer based applications such as: Zoom, TEAMS, Microsoft suite products, outlook email, etc.
Minimum Qualifications:
Two (2) years of experience as an administrative or program support specialist. Administrative support entails those duties beyond clerical or secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; evaluation and explanation of administrative processes, operations, or projects;

OR

An equivalent combination of training and experience.

One year of post-secondary education may be substituted for up to one year of the required experience.

The ability to communicate with people of diverse points of view to resolve problems.
General office coordination skills.
Experience gathering and organizing data and preparing reports.
Experience in promoting a culturally competent and diverse work environment.
