Job Description : Job DescriptionThe incumbent will provide administrative and clerical support as directed to meet site objectives. Incumbent may also be assigned additional duties as directed, including, but not limited to preparing budget reports, assisting with onboarding new hires, and Environmental, Safety and Health (HSE) activities. The incumbent will work closely with the Head of Health, Safety, and Environment to ensure site/regional HSE processes are executed in line with corporate guidance.Principal Responsibilities: Provides daily administrative support/functions, including but not limited to managing phone calls, new hire onboarding support, procurement of goods and services, submitting purchase requisitions, ordering supplies, scheduling meetings, managing conference room schedulesAssigned duties as the Site Medical Contact and ensure compliance with all relevant EHS and medical programsAdministrator/User for various HSE systems (AIMS, Elements Live, Learning and Chemical Management) and supports implementation and administration of other BASF related systems.Helping to develop and manage HSE file/document retention program to align with BASF requirementsReviews BASF Global and North America HSE requirement documents and compares with local procedures to ensure alignment with directivesHelping to develop and implement standard operating procedures and policies around the Responsible Care initiatives – this includes, compliance reporting as well as assist in training development and deliveryCompletes monthly and annual HSE reporting requirementsFacilitating event planning, assisting in content development, and coordinating logistics (invitation correspondence, catering, space planning, notetaking etc.)Providing administrative support for senior managers (calendaring, managing business meetings, travel and monthly expense reports, etc.)Coordinate with other Administrative / Office Assistants for company-wide and inter-site events and policiesAddress employees’ queries regarding office management issues (e.g. stationery and hardware)monitoring operational budget(s) in conjunction with Site Leader to ensure compliance with the site’s financial objectivesreviewing all invoicing with on-site departments, processes expense reports and payment of invoices and ensure accuracy of all invoices and accounts for products and services receivedPerforming additional responsibilities as needed, or business needs shift. Plan with relevant employees for in- or off-site activities such as parties, celebrations and conferencesCoordinate with IT department and maintain functional status of audiovisual equipment in conference roomsRequired Qualifications: High School Diploma with 3-5 years of administrative experience. Must have excellent communication (written and verbal) and customer service skills. Must be detail-oriented and able to read and interpret company policies, procedures, and guidelinesStrong time-management and organizational skills.Must be proficient in Microsoft Office software (Word, Excel, PowerPoint, Outlook)Must be able to lift and/or move up to 40 poundsWorking knowledge of corporate spending reportsPreferred Qualifications:Bachelor’s Degree in Business Administration, Management, or related fieldProficiency Lotus Notes and Strong data analysis and other data systemsExperience working in a 5S and safety-conscious environmentAdditional DescriptionA lot of drive/motivation to work in a high paced positionThe ability to work well on their own and meet deadlinesHas solid background using various data systemsAttention to detail and problem-solving skillsFamiliarity with change management and training development & Learning Management SystemsEnvironmental, Safety, and Health experience is helpfulJob Types: Full-time, ContractSalary: $19.00 – $22.00 per hourSchedule:8 hour shiftEducation:High school or equivalent (Preferred)Experience:Administrative: 1 year (Preferred)Microsoft Word and Excel: 1 year (Preferred)scheduling meetings: 1 year (Preferred)customer service: 1 year (Preferred)Work Location: One location
