Job Description : General Summary Of Duties Acts as a clinic ambassador through the highest standards of customer service. Answers multi-line phones in a Call Center environment. Answers telephone inquiries, routes calls, takes messages, as required. Schedules patient appointments for multiple physicians. Enters patient demographic and insurance information into registration and scheduling software. Performs additional clerical tasks and duties as assigned.Essential Duties and ResponsibilitiesGreet all patients and visitors in a professional and courteous manner.Verify with each patient, Date of Birth, Phone number, address when scheduling an appointment.Be knowledgeable about insurance coverage and various copays. Make sure to have insurance authorization in place when scheduling an appointment.Answer telephone inquiries, make appointments, route calls, take messages. Direct incoming calls to appropriate party in accordance with clinic directives. Maintain a thorough understanding of all of the features of the installed telephone system and utilize the features as appropriate.Document any appointment cancellations and changes. Verify all scheduled appointments with patients when calling or by confirmation in the patient portal.Incoming faxes from referring physicians need to be checked for future appointments, call all patients to schedule appropriate appointments. File chart notes under correct date of service and document if message left. Send note to PCP if no appointment is scheduled.Receive all registrations online, check for appointments, make into charts, and send down to back staff to abstract into chart.Comply with established clinic policies, procedures, and directives regarding personnel, safety, quality assurance, environmental and infection control.Properly assist and utilize the maintenance and care of the clinic equipment and supplies.Attend meetings, educational programs, and seminars as directed.Perform maintenance duties such as kitchen cleanup, posting of outgoing mail and any other duties as directed.Regular and predictable attendance.RequirementsMinimum of a high school diploma or completion of equivalent education level is preferred.Previous medical office experience or certificate of completion in a related field of study is preferred.Must be willing to handle multiple tasks, inquiries and calls, stresses fluxes in workload, and or encounters with patients who are angry, impatient, and or unstable.Must be willing to work in a team-oriented environment assuring that the work in the office is completed on a timely basis.Knowledgeable about insurance plans and referrals.PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
