Job Description : JOB SUMMARYThis non-security shift scheduled position assigned within the Sheriff Department, provides general support functions. Required to use independent judgment in addition to proficiency in processing information and maintenance of confidential office records and correspondence and does involve direct contact with the inmate population.EXAMPLES OF DUTIESEssential Duties:Properly trained CSO’s may be used in other support activities, such as:Completes initial booking inquires regarding inmates’ personal information including, basic personal history, financial status, current mental and physical health status, and utilize screening instruments to identify inmate risk and needs.Responds to a variety of customer calls, by telephone regarding business-related issues such as inmate information, billing and court procedures. Must skillfully interact with the public utilizing good interpersonal communications techniques.Performs detailed, varied and responsible office support work, which may require the exercise of independent judgment and the application of knowledge related to the department to which assigned.Establishes and maintains effective working relationships with those contacted in the course of the work, including the public, other agencies, and County staff.Accepts and processes forms, verifies for completeness, may accept payments and provide an appropriate receipt.Organizes and maintains various files; locates information as required for the work of the department; tracks the issuance of official documents; may purge files and/or prepare information for long-term storage.Researches and assembles information from a variety of sources for the completion of forms or the preparation of reports; may make arithmetic, statistical or payroll calculations.Enters and retrieves data and prepares reports using an on-line or personal computer system; may operate and maintain data base or other automated files and systems. Maintains confidentiality of data processed.Types correspondence, reports, forms, and specialized documents from drafts, notes, dictated tapes, or brief instructions using a typewriter or word processor; may compose standard correspondence independently and have the ability to understand and follow moderately complex oral and written instruction.Enters data into a VDT terminal with sufficient speed and accuracy to perform the work assigned to that position.May be called upon to assist the trustees in the performance of routine facility maintenance, such as emptying wastepaper baskets, shoveling snow from walkways or other general cleaning tasks.Duties necessary to facilitate the general operation of the Department and provide support for other employees.Assignments to other units, sections or divisions within the Department as needed for the overall good of the organization and its efficient operation.Performs other duties as assigned.EMPLOYMENT QUALIFICATIONSKnowledge of:County or departmental activities and functions or the application of policies, regulations, and procedures.Business arithmeticRecords keeping principles and practicesBasic business data processing principles and systems, including the use of a word processor or personal computing equipmentProper form for business correspondenceOffice administrative practices and procedures, including filing and the operation of standard office equipment.Skill in:Organizing and maintaining accurate files and recordsMaking accurate arithmetic calculationsOrganizing and prioritizing own work using independent judgment within established procedural guidelinesTyping accurately at a rate of 55 words per minute from printed copyEntering data into a VDT terminal with sufficient speed and accuracy to perform the work of the departmentPreparing routine correspondence from brief instruction.STANDARD PHYSICAL REQUIREMENTSDuties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a computer monitor and hearing and speech sufficient to communicate in person or over the telephone. Employees must be physically and mentally fit to perform all the required duties of a classification.These requirements may be accommodated for otherwise qualified individuals requiring and requesting such accommodations.WORKING CONDITIONS/ENVIRONMENTThis position is a seven (7) day per week, twenty-four (24) hour per day operation. Work schedules will include nights, weekends, holidays and unanticipated overtime.This position involves contact with people harboring potentially communicable diseases.May be assigned to any Department Division (Corrections, Police Services, Support Services or Administration) or any specialized unit, as needed for the overall good of the organization and its efficient and effective operation.MINIMUM REQUIREMENTS AND EDUCATIONAt least eighteen (18) years of ageValid Michigan operator’s licenseUnited States CitizenshipHigh school diploma or GED equivalencySuccessful completion of an oral interview conducted by the Washtenaw County Sheriff’s OfficeMust be able to pass drug test screening for the use of illegal controlled substancesDESIRABLE KNOWLEDGE, SKILLS AND ABILITIESSome college, business or technical school training in the office administrative fieldSupplemental courses in business practicesExperience in customer service workThis class description intends to identify the major duties and requirements of the job and should not be interpreted as all inclusive.
