Job Description : GENERAL SUMMARY: The HR Assistant provides administrative support to the human resource (HR) office with a high level of confidentiality and integrity. Duties include providing reception to the human resources department, answering internal/external phone calls, providing direction to questions, routing calls to the appropriate location and problem solving, while providing excellent customer service. The incumbent will support the HR function by working closely with the HR team at the assigned campus/business, department managers/supervisors, employees and the community.
ESSENTIAL DUTIES:
Greets, screens and refers visitors to the appropriate department and/or staff member.
Provides assistance to candidates/applicants, employees and managers by responding general questions and problem solving to arrive at a resolution to questions and concerns.
Answers the telephone, screens and refers calls to appropriate staff members and/or department. Interacts in a respectful and professional manner.
Coordinate the development and distribution of all HR communication materials including the delivery of mail to the mail room.
Assists applicants with the submission of their applications, including providing assistance with the use of the online application system.
Maintain calendars of HR team members including scheduling appointments and arranging meetings.
Plans, coordinates, organizes and events and schedules and assist with group activities such as Kids at Work, job shadowing programs, etc..
Ensure supporting materials (agendas, presentations, reports, etc.) for meetings and events are prepared accurately and provided in a timely manner
Responsible for ensuring the maintenance of accurate employee records for both the electronic and manual recordkeeping systems.
Ensure adherence to all applicable legislation and company policies in all areas of HR operations.
Support peers and other Human Resources staff with various administrative tasks as needed.

STANDARD QUALIFICATIONS

High school diploma is required.
6 months of administrative or HR experience preferred.

Other Qualifications:
Working knowledge of Microsoft Office (Outlook, Word and Excel)
Ability to multi-task
Exceptional time management
Strong organizational and customer service skills
