Position : Legal Assistant
Job Description : Position SummaryThis Legal Assistant role will be responsible for providing support to the General Counsel in the form of document management, facilitation of legal requests, administration of legal help desk and ticketing system, and other administrative tasks. Duties include drafting documents, maintaining contracts, organizing internal files, managing interdepartmental requests, appropriate follow through on deadline dates.Success MeasuresSuccess measures include adherence to Centria policies meeting or exceeding qualitative and quantitative performance metrics. Achievement of annual goals set by General Counsel.Duties and Responsibilities The below reflects the essential functions considered necessary for a Legal Assistant and shall not be construed as a detailed description of all work requirements inherent in the job or assigned by supervisory personnel. This job description is used as a guide only and not inclusive of all responsibilities and job duties.Document Management:Originate correspondence and memorandum, record keeping, and matter management. Prepare files for review by authorized partiesProcess and scan incoming and outgoing mailOrganize and track files for important transactionsPerform proper checks to ensure copies and originals are error-free.Maintain electronic documents and files, gather documents, and assemble data as directed by General Counsel1. Legal Support:Maintain contract management databaseReview, update and manage contracts such as NDA’s, ICA’s, vendor contracts, and other agreementsProcess Legal department invoices and track all legal mattersAssist with collection of copy costsReview and process subpoenas and other document requestsPerform tasks to respond to interrogatories such as obtaining information or documents from internal departments, as directedRespond quickly to legal inquiries and maintain a logging system2. Administrative Support:Administer Legal Help desk system and management of legal tickets within the systemMail, fax, and email of attorney letters and other correspondenceReceive and process all physical mail received in the legal departmentPrepare interdepartmental communication with a professional toneCreate and maintain General Counsel’s meeting schedules and calendarsAssist with drafting letters, correspondence, legal, and other documentationQualifications These guidelines can be used to list the qualifications required (or preferred) to perform the job successfully.EducationBachelor’s Degree, or equivalent experienceWork ExperienceTwo (2) to four (4) years in a corporate legal department may be preferredEquipment and Technology RequirementsAdvance computer skillsWorking knowledge of laptop/desktop PCProficiency in Microsoft Suite (Word, Excel)Proficiency in G Suite (Gmail, Drive, Docs, Sheets, Google Meet)Working knowledge of .pdf editing softwareOther Competency RequirementsAbility to follow written instructionsAbility to use computers and computer/software programsAble to communicate expressively and receptivelyKnowledge and SkillsAbility to create and manage systems to track and log activities and documentation;Proficiency in PC software, especially word processing programs such as Word;Ability to maintain a high level of confidentiality and ethical standards in all matters;Excellent writing, grammar, proofreading skills, and meticulous attention to detail;Ability to organize, prioritize, and handle multiple tasks, adhere to established deadlines, and produce work that consistently meets or exceeds team benchmarks;Ability to communicate and handle stressful situations in a professional, calm, courteous manner;Possess strong organizational and time management skills, with a keen ability to multi-task;Effective communication skills, both written and verbal, with internal and external stakeholders;Proven adaptability with a willingness to work both collaboratively and individually to achieve desired business outcomes.Working Conditions Centria’s office hours are Monday through Friday from 8:30 AM – 6:00 PMAdditional time or occasional shift in schedule may be required to complete the above work or meet company objectives.We are an equal opportunity employer and value diversity at our company.
