Position Overview:
The Travel Schedule Coordinator – Weekend is responsible for scheduling and coordinating company travel. This position will work weekends, and evenings as needed.
Key Result Areas (KRAs):
Ensure thorough communication within the department, and across the company, regarding schedules for travel:
Communicate schedules for travel via text, email, and other necessary means
Provide a link between HQ and Pilots so that flight crews can have times of rest and offload scheduling/communication tasks
Close communication loops between different departments within Dutch Bros
Coordinate and organize travel while tracking and monitoring related expenses:
Input data into systems to prioritize and sort travel needs for Dutch Bros
Answer calls/texts and convert requests to Travel Department calendar and ticketing system
Ask questions to gather all required information
Effectively communicate schedules and limitations to affected parties
Learn about maintenance, weather, and physical limitations and communicate those limits when needed
Track, record, document, and error-check travel-related expenses
Make travel reservations, as needed (hotel, ground transportation, commercial flights)
Monitor and compile multiple sources of data input and form summary emails for travelers and internal use
Maintain confidentiality, as indicated, and consistently follow timelines:
Use discretion when dealing with personal details and sensitive company needs
Consistently follow timelines
Job Qualifications:
High School diploma or GED, required
2 years administrative experience, preferred
Dutch Bros process and policy knowledge, preferred
Experience scheduling corporate travel, preferred
Must have good communication skills and ability to interact with people in a positive manner
Must have good organizational skills
Working knowledge of Google Suite and Basic HTML based programs
Travel-based web experience a plus
Available to work weekends and evenings, as needed.
Competencies:
Ability to learn and develop new programs, as needed
Must be self-motivated, willing to take direction, and willing to accept and apply constructive criticism
Willing to check in with supervisors on a regular basis
Must be willing to dig for details
Physical Requirements:
Occasional lifting up to ten pounds
Must be able to work in a climate-controlled office environment
Vision must be good, or corrected to normal, to perform normal job duties
Hearing must be good, or corrected to normal, to have the ability to understand information to perform job duties
Ability to read and write in English in order to process paperwork and follow up on any actions necessary
Sitting for extended periods of time
Manual dexterity needed for keyboarding and other repetitive tasks
*This position is eligible for remote work, preferably in the Southern Oregon area*
Compensation (DOE):
$18.30
