SUMMARY: The secretary will provide administrative support for the programs and director(s) of Allegan Online and Adult Education, and will be responsible for the communication and record keeping related to the student information system. There may be limited summer hours included in this position to help support programs such as Adult Education and Credit Recovery.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provide administrative support for the program directors.
Assists in maintaining the student and adult information systems including enrollment, pupil count, historical grades, CA60 files, transcripts.
Provides professional and positive customer service.
Makes and receives telephone calls, takes messages, routes calls.
Responds to inquiries from students, staff, parents, and public officials regarding attendance rules, absences, suspensions, and enrollment status.
Compiles and submits a variety of weekly, monthly and year-end reports as required.
Maintains and prepares Allegan County Health Department reports.
Prepares, distributes, files records/reports, correspondence etc. related to progress and attendance.
Maintains Technology “Acceptable Use” records and helps maintain Follett inventory.
Assists in graduation preparation and organization.
Organizes materials for enrollment and student orientation.

REPORTS TO: Program Directors

TERMS OF EMPLOYMENT: 38 – 40 weeks per year

COMPENSATIONS: Based on Secretarial Bargaining Unit Agreement. Employee only benfits available after satisfactory completion of probationary period.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:
High school diploma required. Associate Degree or higher preferred; two to four years related experience preferred.

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents, staff, and students.

MATHEMATICAL SKILLS:
Ability to add, subtract, multiply and divide in all units of measure, currency, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES:
Skilled in word-processing, data processing, spreadsheets, and desktop publishing. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
