Job Description : Expanding firm is seeking a professional Associate Commercial Property Manager with practical knowledge and hands-on experience in office and retail commercial real estate. You are self-motivated, excel at problem solving and understand what it means to provide outstanding customer service. You have excellent written and verbal communication skills and enjoy interacting with people and a variety of businesses. You enjoy days that are never the same and don’t mind splitting your time between the office and onsite at buildings. You are the eyes and ears of each property, and you manage and pride yourself in treating each building as if it was your own. We also love baked goods, a great cup of coffee and attending Design Week Portland events as a team.We think the best way to understand this role is to read about a Day in the Life of a Property Manager.Day in the Life:AM- Your day begins at the office checking email and updating your to do list for the day.- You join the team for a monthly staff meeting where we discuss new business, office procedures and updates, and other general office happenings. Your voice matters on the team and you lead training on a new Property Management Department process.- You leave the office to tour a prospective tenant and third-party broker of a vacant suite followed by meeting with a current tenant to review their triple net reconciliation.- You have lunch with Pingree’s owner and one of our clients to review the current year budget projections and discuss an upcoming capital improvement project.- Prior to returning to the Pingree office you drive by a building to inspect the work performed by a subcontractor to power wash the deck and cover graffiti on the back wall.PM- You return to the Pingree office to complete the following:Check emailReview aging report of rent and contact past due tenants with reminderApprove and send vendor invoices to accounting with proper expense coding and notesDraft commercial lease for new tenant at a BuildingRespond to third-party broker’s email about current Letter of IntentEmail the owner of a property regarding the two elevator proposals to modernize the old elevator, detailing all relevant information including cost, timing and your professional recommendation for which vendor to choose and how this impacts the budget.Work on writing your report details for the monthly financial and management reportsMeet with Assistant Property Manager to download on current tenant projects and provide assistance/responses for maintenance requestsSchedule meeting with tenant at a building to discuss their upcoming lease renewalRespond to urgent tenant notice that front door access system is not functioning – you leave to go onsite to see nature of the problem and contact appropriate vendor for immediate repair. You head home for the day after this.DAY OVERAdditional responsibilities include, but are not limited to;Leasing ActivitiesAssist in negotiating and managing leasing activity including leading prospective tenant tours, drafting lease agreements and renewals and coordinating with all appropriate partiesAssist with Letter of Intent generationAssist with marketing of vacant suites including lease flyer generation and providing all relevant details * Client RelationshipsManage client communication and expectationsProvide clients with necessary updates on building repairs, maintenance and tenant/leasing activity as desiredAct as main point of contact for our clients with nuanced grasp of issues, challenges, and opportunities * Tenant RelationshipsProvide the best tenant service. Respond to, address and resolve tenant concerns or issues related to tenancy in need of attention. Meet with tenants as required, ensuring that tenant needs are met, and that high-quality property management service is achieved. This also includes coordinating tenant move-in and move-out procedures, responding to maintenance requests and following up with tenants to ensure they are satisfied with the service provided. * Vendor RelationshipsMaintain excellent relationships with our vendor partnersAssist in reviewing, obtaining and confirming vendor service contracts.Work with vendors to obtain quotes, schedule cleanings or ask about invoice charges, as needed * Budgeting and AdministrativeContribute to the preparation of monthly management and financial reports, year-end CAM/NNN reconciliations, and annual property budgets for your portfolio.Monitor property performance including reviewing expenses to ensure cost effectiveness and compliance with property budget parameters.Monitor for delinquent rent and support the Accounting Team with late rent collectionAssist with process and procedure updates for the Property Management Department and OfficeAttend weekly check-ins with Manager and monthly staff meetings with entire team * Project ManagementAssist in the support, implementation and general management of tenant improvement and building capital improvement projects.Ability to support on development activity projectsAttend Project MeetingsProvide perspective and insight on function/maintenance considerations in design phaseProvide perspective on marketability of potential tenant spaces * Building MaintenanceOccasional after-hours availability for property related emergencies(infrequent)and alarm testing.Perform property inspections and coordinate maintenance / repair projectsEstablish and monitor preventative maintenance programs on all buildings systemsJob Must-Haves:Excellent and effective verbal and written communication.Strong time management, analytical prioritization and organizational skills.Computer skills, strong working knowledge of Excel and Word.Bachelor’s degree.Property Management or Real Estate experience is a plus.State of Oregon Property Management Real Estate License is a plus. Will be required to obtain Property Management License within first year of employment.Experience using AppFolio Property Management software is a plusThe successful candidate will also possess the following characteristics:Effective communication skills.
