Aging and People with Disabilities (APD), part of the Oregon Department of Human Services , is currently looking for ONE permanent, full-time, dedicated and compassionate individual to provide services as an Office Specialist 2 .

ABOUT THE PROGRAM
WHAT YOU WILL BE DOING
The Office Specialist 2 is responsible for assuring that the functions which support the program flows smoothly to maximize services to our clients. This position provides a wide variety of technical and administrative tasks in support of the branch office operations. The purpose of this position is to support the various Medicaid Programs, SNAP, TANF, ERDC offered by Aging and People with Disabilities. This includes all scheduling needs for the office in the Integrated ONE System. Scheduling needs can include, calling applicants and working with other agency staff using various platforms. This may mean direct contact with Oregonians seeking benefits offered by the agency. This position will assist staff and leadership provide essential services by providing general clerical, technical and other supportive duties.
Job related decisions are made concerning planning and prioritizing own work, determining appropriate formats for creating various documents, how (and what) to respond to a variety of inquiries, and when to involve a supervisor when presented with situations exceeding employee’s capacity to respond appropriately.
Major duties include, but are not limited to:
Work in the office – Scheduler Back Up contact for all consumer scheduling needs. Schedule eligibility appointments in ONE; Coordinating scheduling needs with various positions both in office and outside of our branch. Troubleshoot appointment related concerns and problems. Update calendar appointments for eligibility staff; Complete Rights & Responsibilities for eligibility consumers; Establish a filing date per protocol; Complete local and statewide tasks for the ONE system. May utilize IE ONE, Century Link Intelligent Desktop or Century Link Call Recorder (Tanta Comm), MMIS, ACCESS, excel spreadsheets, logs, Word, EDMS, Outlook, mainframe programs and/or other programs as needed and/or directed.
WORKING CONDITIONS
Office environment with daily use of personal computer and associated local and network environments. Sometimes deals with challenging customers, and a variety of physical and sensory situations, i.e. people who smoke and wear fragrances. Employee may be required to use a state vehicle to conduct business; must have a valid driver’s license and acceptable driving record or be able to provide a suitable alternate method of transportation. This position requires the ability to work as part of a team and on multiple tasks simultaneously, sometimes within short time frames. This position is not suitable for working remotely on a full time basis.

THIS IS WHAT YOU NEED TO QUALIFY:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents. OR an Associate degree, OR
Graduation from a private school of business with a certificate AND one year of general clerical experience.

Experience reading and comprehending technical material (i.e.: policies and protocols)
Experience providing clear verbal and written communication
