Job Description : Job Summary: Ensures that the operations of the property are in compliance with the standards and expectations of the Cooperative and the Company. Works effectively in a team setting to facilitate effective management of all information related to the property, including equipment, accounting, resident relations and experience, and overall maintenance planning and implementation to ensure excellent property maintenance and appearance.Duties and Responsibilities: Financial· Prepare the annual operating budget in collaboration with regional manager.· Follow budget guidelines and complete monthly variance reports.· Prepare and Distribute Monthly Reports in collaboration of regional manager and distribute to the Association Board members, timely.· Oversee the Account Receivables and Account Payable functions.· Analyze utility consumption and identify opportunities to reduce costsResident and Community Relations· Develop positive working relationships with all residents and related community groups.· Ensure that all resident inquiries and complaints are timely and satisfactorily addressed.· Coordinate all resident move ins and outs, notifying any related vendors and team members.· Produce positive electronic tenant communications, routinely.Administration· Process monthly dues collections and all financial matters affecting the property and report monthly to leadership.· Provide updated resident welcome packages for new residents.· Attend local quasi-governmental and public meetings that affect the properties and update the Board, monthly, on activities occurring in and around the properties.· Ensure that preventative maintenance is scheduled and performed according to requirements.· Make sure that the maintenance system and resident databases is being kept updated at all times.· Report and track payroll for any hourly team members.· Maintain the building operation manual with checklists for preventative maintenance.· Send out legal correspondence· Organize and facilitate board meetings.· Attend Board meetings minimally once per month.· Oversee and manage the maintenance, janitorial, security and office staff for the building.Operations· Oversight of property management procedures.· Ensure maintenance tracking systems are in place, updated constantly and monitored for accuracy.· Coordinate with facility manager to bid out vendor contracts· Read and know the bylaws, rules and regulations and the management agreement for the property and abide by the contract terms.· Manage and oversee the building staff at all levels to maintain all aspects of operation and compliance, including OHSA safety and labor law adherence.· Insure code compliance with local authorities and report to the Board as necessary in writing on violations or complaints, timely.· Recommend capital improvements· Select vendors and negotiate ordinary-course contracts· Recommend upgrades, repairs or other capital and deferred maintenance expenses after verification and solicitation of bids.Skills, Education & Experience: · Minimum of 3 years’ experience in Property Management required, degree preferred.· Ability to handle multiple projects and prioritize when necessary.· Exceptional attention to detail and accuracy.· Service-orientated.· Understanding of general property operations and maintenance for the built environment.· Excellent written and verbal communication skills and relationship building skills.· Proficient in Microsoft – OneSite, Excel, Outlook and Word software packages.Job Type: Full-timePay: $70,000.00 – $85,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceEmployee discountHealth insuranceLife insurancePaid time offReferral programTuition reimbursementVision insuranceSchedule:8 hour shiftSupplemental Pay:Bonus paySigning bonusCOVID-19 considerations:Property follow Covid-19 precautions.
