Job Description : Trademark Hire, LLC has partnered exclusively with one of the largest seafood companies in the US, located in Portland, OR (Clackamas), to place a high-level, high-energy, sophisticated, and highly organized individual in the role of Executive Assistant to the CEO. The CEO is a fast-paced, high-energy leader who is always “on the go” frequently traveling among the company’s various locations, and is looking for a true gatekeeper/right hand/strategic partner, to help move his goals and initiatives for the company forward. This is a great, long-term opportunity with growth potential for the right individual.The EA will report to the CEO and be responsible for providing comprehensive administrative, developmental and project management support, as well as be the face of the company on behalf of the CEO at all times. Additionally, the EA will provide assistance to the CAO with administrative needs roughly 25% of the time. During the first 6 months, the EA will travel some (2-day trips) to Texas West, Alaska & Western Canada to visit the other company locations, see operations, meet the people, and get a feel for the business.The ideal candidate is a curious learner with years of experience supporting busy, C-Suite Executives. A positive attitude, good worth ethic, ability to seamlessly multi-task, identify priorities, work well independently and as a team, is essential in this role.Hours: Up to 45 hrs/week (7:30am-5pm) with avg. 50-55 hrs/week when CEO is in office (often every other week). Flexibility needed (24/7 mindset) to receive communications/handle requests that might occur after hours/weekends as needed.Location: Portland (Clackamas), Oregon – Relocation assistance available for the right candidate match if needed.About The Company: The company is a third-generation family-owned company that was founded by the CEO’s grandfather in 1941. Stay at least 4 weeks ahead on calendars to minimize last minute changes and avoid schedule conflicts. Help ensure the CEO is on time to all appointments and take into consideration travel time.Coordinate the CEO’s travel arrangements and generate detailed itineraries.Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.Arrange and handle all logistics for the CEO’s meetings and events: schedule and attend meetings; draft agendas; develop, compile, and distribute presentation materials, etc.Act as a liaison between the Board of Directors and the CEO/company executives.Responsible for event planning logistics for executive level meetings (location, food, agenda, etc.).Maintain a professional atmosphere in the Board Room and CEO’s office (organized, stocked with supplies, coffee, etc.). Ensure computer and projector are on and working prior to meetings.Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.Act as a “barometer,” having a sense for the issues taking place in the office and keeping him updated.Monitor the CEO’s email inbox, tending to urgent matters and removing unnecessary emails. Maintain a maximum of one page of emails at the end of each day. Draft and send emails and maintain email lists for forwarding regular messages.Answer the phone, take accurate messages, keep track of executives’ whereabouts, and handle urgent calls with appropriate judgment.Manage, compose and prepare confidential correspondence, reports, and other complex documents, proofing and editing of all documents to ensure accuracy and consistency.Collaborate with the Communications Team to help develop and implement strategies for communicating to all company team members (including front line team members without email), as well as customers and other community partners.Maintain address and contacts lists and handle all mailing and couriers (including birthday cards, personal/professional correspondence, etc.).Be proactive in recognizing when to send thank you notes, gifts, etc. to personal/professional contacts.Draft CEO speeches, announcements, and presentations.Organize and maintain administrative records on personnel, equipment, facilities, and other business elements – both paper files and electronically (including on CEO’s hard drive, company “Y drive,” and in the cloud).Assist as needed with helping the CEO on various family matters, helping schedule and manage children’s appointments, school, activities, etc.Manage expense reports for the CEO’s direct reports.Log payment of bills (work and personal).Keep track of the CEO’s properties and vehicles to ensure bills and taxes are paid and insurance cards are up to date.Deposit checks with the bank & keep track of various bank accounts (work & personal).Route invoices to appropriate people for payment.Further refines systems and processes to maximize efficiency.Liaise with personal and business associates, philanthropic contacts and clients.Assist with personal needs to include running errands etc. as needed.Experience/Education: Minimum 5+ years of experience directly supporting C-level ExecutivesBachelor’s Degree preferredAdvanced knowledge of Microsoft Office Suite + Knowledge of Microsoft Office TeamsSome background in financial analysis (to support managing expenses/balance sheets/income statements etc.) is neededExperience managing other EAs is a plus!ERP system experience is plus!Valid Driver’s License & current passportCompensation/Benefits: Salary: $125-150k *DOE* + annual 10% bonus401k w/company matchPTOPaid HolidaysMedical/Dental/VisionLife & AD&D InsuranceSTD & Voluntary LTDMaternity/Paternity Leaveand more…*Successful completion of reference, background checks and drug screen are required prior to employment*Note: Candidates selected for consideration will be contacted via email.
