Job Description : Michigan Community VNA Home Care, Hospice, and Wellness, a growing company is in search of an Office Manager. Looking for a person who is organized, can multi-task, great communicator, and enjoys working as a team. This person would be responsible for scheduling, special projects, administrative support to the C suite, verifying insurance, communicating with marketers and clinicians. This is a Monday thru Friday position 8:30am to 4:30pm. Starting at $50,000 plus benefits. Healthcare, Microsoft Office, Accounting and Customer Service experience a plus.POSITION DESCRIPTION· Plan, implement, and evaluate the company’s intake process; develop statistical data and reports on trends and effectiveness· Communicate information regarding the company’s services to health care providers· Work with referral sources on a day-to-day basis to accommodate incoming referrals· Resolve escalated referral processing issues· Direct, monitor, evaluate, assign work activities, and manage schedules of assigned team members· Oversee the scheduling processing of Operations Support team· Ensure scheduling activates are aligned with the company’s fiscal goals· Ensure scheduling activates emphasize continuity of care and high quality client service· Oversee the Operations Support team to ensure a consistent, high level of productivity with respect to referral throughput, % calls within service level, average time to answer a call and % abandoned calls· Oversee the company’s scheduling process for professional visiting staff (PVS) and para-professional visiting staff (CNA); assist in the work planning/scheduling process, as necessary· Participate in the company’s quality and customer improvement activities· Collaborate with all departments to ensure quality customer services interactions· Maintain knowledge of changes in Medicare, Medicaid and private insurance billing practices and requirements; recommend changes to company procedures, as appropriate· Assist in the orientation of new team members· Review, correct, and submit bi-weekly payroll timesheets, activity logs, and mileage logs for all VNA employees; assist in payroll audits, as requested· Oversee the management of the office mail· Manage and resolve escaladed phone calls or in-person issues, concerns, or situations· Assist with all office document management including paper and electronic records and/or documentation· Ensure the office has adequate phone coverage; serve as receptionist if necessary· Maintain records and relationships with applicable vendors· Ensure the office is adequately stocked with supplies and equipment, including but not limited to furniture, office supplies, kitchen supplies/snacks, and medical supplies/equipment· Demonstrate flexibility while performing job duties to ensure the highest quality of service is provided· Utilize critical thinking skills while performing job duties; analyze work process and make suggestions for improvement· Maintain a thorough understanding and consistently adhere to all applicable department and company policies and procedures· Conduct job duties in a way which will reduce and avoid potential safety hazards· Demonstrate initiative and drive to promote personal and company success· Perform other duties as assigned by your supervisor or management team memberJob Type: Full-timePay: $50,000.00 – $55,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceEmployee assistance programFlexible scheduleHealth insuranceHealth savings accountLife insurancePaid time offParental leaveReferral programTuition reimbursementVision insuranceSchedule:8 hour shiftMonday to FridayEducation:Associate (Preferred)Experience:Administration: 5 years (Required)Work Location: One location
