NON-EXEMPT JOB TITLE: Receptionist

REPORTS TO: Chief Operating Officer

POSITION SUMMARY: Front Desk Receptionist to perform a variety of administrative and clerical tasks. This position will be the first point of contact for customers and vendors and will offer administrative support to the office. Will be responsible for clerical duties, such as: entering data, completing necessary paperwork; writing letters; filing current policies; packaging new and renewal policies; sending marketing tools and proposals, etc.

ESSENTIAL FUNCTIONS:
Job Specific
Answer and route phone calls in accordance with office policies.
Greet and direct all visitors including vendors and customers.
Help agents and account managers schedule customer appointments.
Process inbound and outbound mail and customer packets.
Assist other staff with overflow work, including word processing and data entry.
Process clients’ payments with companies and on agency accounts.
Perform other clerical duties such as filing, scanning, and faxing.
All other duties as reasonably assigned.

Provide assistance, information and support to co-workers.
Provide prompt assistance and information to all customers (internal and external).
Regular attendance. Report to work on time; adhere to time frames for breaks and lunch.

Deliver exceptional customer service.
Participate in appropriate training opportunities and in a timely manner.
Behave ethically. Immediately report any concerns to Human Resources or upper level management.
Be alert to surroundings and familiar with all crises procedures, including but not limited to, robbery.
Comply with all policies, procedures and regulations.

MINIMUM JOB REQUIREMENTS:
EDUCATION/EXPERIENCE REQUIREMENTS: High School diploma (or the like) or relevant industry experience required.

KNOWLEDGE, SKILLS AND ABILITIES (KSA’S):
Working knowledge of personal computer (Microsoft Office products).
Ability to use general office machines.
Must be attentive to detail and very accurate.
Self-motivated.
Ability to interact effectively with customers, management and other employees.
Critical and analytical thinking skills, problem solving abilities.
Strong customer orientation.
Strong communication skills, both orally and written.
Must be flexible, able to work under pressure to meet deadlines and prioritize work flow.
Organizational skills, courtesy and diplomacy.
Sound judgment.
Ability to hear well enough to communicate with customers, co-workers and outside bank personnel.
Ability to read and write.

PHYSICAL DEMANDS:
Normal daily physical activities to include, walking, standing, sitting, stooping, bending, pushing, pulling.
Must be able to read reports and use computer.
Daily lifting up to 10-30 pounds (i.e. storage files, office supplies, and equipment)

WORK ENVIRONMENT: Indoors, environmentally controlled. This position may require travel by car to visit other company locations and make on-site customer visits.
