Job Description : ARTS ADMINISTRATION COORDINATORABOUT USThe Saugatuck Center for the Arts (SCA) is a non-profit arts and cultural organization serving West Michigan’s lakeshore community. We offer year-round live performances, classes and workshops for adults and children, outreach programs, festivals, exhibitions, a Summer Market, and professional theatre in the summer. The SCA is also a rental facility for weddings, receptions, meetings, and more.PRIMARY FUNCTIONThe highly detailed and customer oriented person in this full-time position helps nurture and manage the “SCA”Family (guests, donors, staff). Assisting the Executive Director and working closely with other staff members, this person manages the SCA database (ticketing, fund development), assists with donor management (including assistance with special events and fund development projects), manages the box office staff, and handles routine office operational duties.JOB DESCRIPTIONWorking RelationshipsReports to Executive DirectorHires and supervises Box Office staff (~5)Collaborates with other staff to help coordinate internal ordering, mailings, event logistics, etc.DimensionsFocus on customer + donor data management;Looks for efficiencies in data collection, management, and information sharing among various departments;Oversees operational budget lines;Additional consideration: Focus on finding avenues for cost efficiencies operationally and through box office operations.Principal Duties & ResponsibilitiesData ManagementMaintains SCA database (VBO)Inputs gifts; processes acknowledgement lettersCreates donor reports as neededCreates sales reports as neededInputs events / programs into VBO in collaboration with other managers.Creates monthly timeline and sets due dates, alongside Marketing Manager, for receiving required VBO event set-up data from other managers.Box Office ManagementHas a thorough knowledge of the ticketing system / is able to troubleshoot / builds a working relationship with the VBO development team in California.Hires and trains box office supervisor (May – September)Works with supervisor to hire and train summer box office teamSchedules box office staff for off-season concerts/programsCoordinates “Art Pass” systemFund DevelopmentAssists the Executive Director in building SCA family relationships including individual, corporate, and foundation gifts; special events; volunteers, ticket buyers.Coordinates year-end mailing with mail vendor (managing timeline, producing lists, handling postage, etc.)Coordinates monthly e-mailings (in-house) with Marketing Manager and Executive DirectorProvides mailing lists for marketing mailingsSpecial EventsProject manages the annual benefit including: coordinating event schedule, coordinating mailing lists + guest lists, coordinating check in & check out process, working collaboratively with the event team.Assists with other special events throughout the year including: producing mailing lists & tracking RSVP’s and coordinating with hospitality staff.Operational DutiesHandles telephone ticket sales (off season + alongside box office)Picks up mail dailyCoordinates phone system greetings throughout the yearInputs merchandise information into VBO for Marketing & ExhibitsOther duties as assigned by the Executive DirectorWORK ENVIRONMENTThis is a full-time (40 hours/week average) position, with opportunity for some hours to be virtual as neededHours are flexible though a set M-F schedule is needed to maximize efficiencyOccasional lifting of materials of up to 25 pounds is necessaryWork is completed within an office environment, box office, and at SCA events.Job may require visits to various vendors and venuesJob may require errands to vendorsJob requires working occasional evenings and weekendsEXPERIENCE, EDUCATION, AND SKILL SETSCollege degree and minimum 5 years prior management experience requiredOutstanding organizational, analytical, prioritization, judgment, and problem-solving skillsStrong attention to detail and creating modelsGrowth mindset: Interested in problem solving and learning new skillsExcellent interpersonal and customer service skillsAbility to collaborate and be a team playerAbility to prioritize workload, meet deadlines and manage multiple projects simultaneouslyExperience with ticketing systems and prior box office experience a plusProficiency in Microsoft Word, Excel, Google Workspace (drive, docs, sheets, etc.)COMPENSATION: $45,000 – $50,000 annual salary (dependent upon qualifications); health insurance, and paid time offTO APPLY: Please submit a resume and cover letter.Sc4a.org 269.857.2399 PO Box 940 400 Culver Street Saugatuck, MI 49453Job Type: Full-timePay: $45,000.00 – $50,000.00 per yearBenefits:Flexible scheduleHealth insurancePaid time offSchedule:Monday to FridayWeekend availabilityAbility to commute/relocate:Saugatuck, MI 49453: Reliably commute or planning to relocate before starting work (Preferred)Application Question(s):Tell us about your experience with ticketing systems.Tell us about your experience with fund development systems.Tell us about how your past experience would translate to this role.Are you fully vaccinated against COVID-19?Education:Bachelor’s (Preferred)Experience:Data management: 5 years (Preferred)Data reporting: 5 years (Preferred)Box Office: 5 years (Preferred)Supervising: 5 years (Preferred)Google Workspace/Drive/Calendar and Microsoft Office: 5 years (Preferred)Work Location: One location
