Job Description : DEFINITION OF POSITION:
Provides administrative/secretarial support to the Health Care System President & CEO, COO and VPs and performs diversified administrative and secretarial functions. Handles matter of routine nature to conserve supervisor’s time. Interfaces with hospital staff and the public, scheduling business meetings and travel arrangements.

Examples of work performed may include a broad range of complex responsibilities involving confidential or technical information, such as compiling reports, furnishing information, scheduling meetings and preparing agendas/minutes, responding to routine correspondence, researching background material, and responding to internal staff, managers, physicians, visitors, agencies, and telephone calls. May exercise considerable judgment and discretion in completing assignments and perform special projects of a moderate to highly skilled nature. Training in medical terminology would be helpful, but is not required.

Perform duties of the Administration Dept. Manager/CEO Executive Assistant in her absence. Requires advanced secretarial skills and ability to follow instructions without close supervision.
QUALIFICATIONS:

A. EDUCATION/CERTIFICATION:
High school graduate. Completion of job-related college course work in secretarial science or business administration preferable.

B. EXPERIENCE:
Minimum of six (8) years varied and increasingly responsible secretarial experience at the executive and administrative level.

C. EQUIPMENT/TOOLS/WORK AIDS:
Hospital Information System modules, word processing programs for reporting, Windows program for departmental data management, telephone, fax machine, photocopier and confidential voice mail as available.

D. REQUIRED SKILLS:
Ability to take and transcribe dictation from recorded dictation. A thorough knowledge of correct English usage, grammar, spelling, vocabulary and punctuation is required. Must be familiar with modern office methods and technology, including demonstrated competency in word processing and/or personal computers. Must have the ability to develop a thorough knowledge of departmental organization, policies and procedures, and a general knowledge of the hospital structure. Ability to compose clear and concise correspondence independently or from oral and/or written instructions. Establish and maintain clerical procedures and standards, independently perform a variety of administrative assignments, establish and maintain effective public relations with departmental clientele and effectively meet the public in situations requiring tact and poise. Ability to type a minimum of 65 words per minute. Must have a pleasing, yet effective, telephone manner.
