Position : Administrative Assistant

Job Description : Job Summary:
Under the direction of the AFC supervisor, the Administrative Assistant plans and coordinates resident activities and recreation. Provides administrative support to the AFC and Community Health (CH) department. Contributes to accomplishment of the Tribe’s holistic health and wellness objectives for patients and families.
Essential Functions:
Coordinates activities and provides supplies for resident activities, birthdays, holidays, tribal events, etc. Provides monthly activities schedule to each resident and posts in each lodge.
Responsible for ordering all AFC supplies; office, medical, resident care items, lodge necessities, minor equipment, etc.
May assist with Title VI grant coordination.
Tracks AFC and CH budget, maintain a log of all expenditures, submit purchase requisitions, and check requests and invoices for all AFC and CH department purchases.
Processes electronic Work Orders and follows up with Maintenance Department to ensure repairs are completed in a timely manner.
Attends monthly staff meetings, take notes once approved by supervisor and follow up on requests. Keep file with agenda and attendance logs.
Assists with travel arrangements and expense reimbursements for meetings, conferences, and work-related travel for AFC and CH department.
Aids in the hiring process by setting up interviews for Administrator or supervisor.
Completes new resident move in. Keeps intake paperwork updated, ensures rooms are ready for move in.
Provides Housing Departments with resident income and support paperwork. Send monthly and quarterly updates to Finance and Housing/HUD.
Updates and posts staff/emergency contact phone lists in each lodge as necessary, along with staff and resident birthdays.
Answers phones for AFC and Community Health services and routes calls and messages to appropriate staff.
Types memos, letters, documents, reports, flyers, organization charts, and mailing labels.
Operates a variety of office equipment: computer, printer, fax copier, scanner, shredder, laminator, etc.
Provides administrative support to Lodge Supervisor and Manager.
May be required to serve as a caregiver and provide transportation for Lodges and Community Health.
Performs a variety of other duties as assigned by supervisor/manager.
Education, Experience, and Licenses:
Requires a High School or GED and two (2) years of work experience as an Administrative Assistant or equivalent combination of education, training, and experience.
Driving Requirements:
This position may require driving.
Qualifications, Registrations, and Certifications:
Coordinates and performs a variety of administrative functions.
Attention to details
Must have experience in staffing and activity planning preferred.
Establishes and maintains effective working relationships with others.
Requires a minimum typing speed of 40 wpm. Testing will be completed as part of application review process.
Requires working knowledge and proficiency in use of office equipment and computer software such as Microsoft Word, Excel, Power point, and Outlook. Testing on Word, Excel, Basic Office Skills will be required as part of the application review process.
Requires excellent verbal and written communication skills, business and telephone etiquette
Must have the ability to work at times with minimal supervision.
Must have excellent organizational skills, attention to detail and record keeping skills.
Must have ability to respond courteously and tactfully to complaints and client requests, and to maintain confidentiality.
Knowledge of and sensitivity to Native American culture required.
Must have a working knowledge of the Privacy Act/HIPAA and its applications.
Current CPR/First Aid Certification required
Expands and improves current knowledge base by attending continuing education courses as deemed necessary to meet personal development plan.
Able to communicate effectively; maintain an effective working relationship with residents and staff.
Environmental Factors and Conditions/Physical Requirements:
Continually requires the ability to express or receive detailed information or important instructions through oral communication.
Continually requires working with fingers rather than the whole hand or arm. Requires repetitive movement of wrists, hands and/or fingers.Often requires walking or moving about to accomplish tasks.
Requires standing and/or sitting for sustained periods of time, raising objects from a lower to a higher position and/or moving objects horizontally.
Occasionally requires lifting of up to 50 pounds.
Due to the nature of the interactions with other employees and the public we serve, employees may be required to provide documentation of, or receive, certain health vaccinations.
This position is frequently subject to inside environmental conditions which provide protection from weather conditions, but not necessarily from temperature changes, and is occasionally subject to outside environmental conditions.
May be called upon to serve as a Disaster Reservist during Emergencies, or when the Tribal Emergency Operations Center is opened.
Local travel is occasionally required. Travel outside of the state is infrequently required.
