University of Michigan Museum of Art (UMMA) offers a global collection of art to the public with no admission charge. Our mission is to share art with our community, especially K-12 teachers, students, and families. UMMA staff strive to further our ongoing commitment to anti-racist action and a more inclusive museum.
Summary
Basically, keep track of all visit requests and respond to each person politely. Manage the calendar.
The Project Coordinator serves as an essential contact for receiving and responding to all requests for K-12 and community group tours. They ensure that the tour reservation process not only runs smoothly but also is a pleasant experience. They work with the Museum Curator for Teaching and Learning on K-12 programs including assisting in the daily operations of the volunteer docent programs, K-12 school visits, and programs such as workshops and events.
This position would be flexible in terms of physically reporting to the museum building. While in-person events and some tours would require onsite presence, some of the work could be conducted remotely.
Transport of materials weighing up to 50 pounds may be required
Responsibilities*
Scheduling and Coordinating: Process group tour requests: receive inquiries through an internal software program, track their progress, and respond to every request. Maintain a master calendar to ensure that all group visitors to the galleries, whether K-12 or university can access the needed spaces, achieve their teaching and learning goals and have an excellent experience with UMMA from start to finish
Event planning: with UMMA staff, you will manage logistics of invitations, setup, food, internal reservation system, project materials, rentals, and cleanup
Communicating: Manage mailing lists and marketing to K-12 educators and volunteer docents. Serve as primary liaison between schools / organizations and volunteer docents / gallery educators. Work with a wide variety of Museum staff including scholars, speakers, artists, teachers, contractors and consultants on and off campus, nationally and internationally
Teaching Support: Co-create student-centered curriculum with colleagues and K-12 teachers. Develop, procure, and organize teaching materials.
Departmental Support: perform occasional administrative tasks that are essential to keeping the Public Experience and Learning department running smoothly
Required Qualifications*
Experience with software programs such as Google Workspace, database management.
