Job Description : POSITION TITLE: BUSINESS OFFICE MANAGERPOSITION SUMMARY:The Business Office Coordinator is directly responsible for maintaining accurate records forall Accounts Receivable (Including collections,) Accounts Payable, Payroll, and Petty Cash; processing those items for corporate accounting functions under direct supervision of the Administrator. Also responsible for backup of Receptionist functions: giving tours and gathering personal information from inquiries, answering telephones, taking/delivering messages and responding to Community Administrator’s directions.REPORTS TO: EXECTIVE DIRECTOR Position Responsibilities:1) Maintains accurate records for all Accounts Receivable (including Collections), AccountsPayable, Payroll, and Petty Cash.2) Processes documents for corporate accounting under direct supervision of Administrator.3) Maintains security of business office files and accounting support documents.4) Notifies Administrator of any questions or irregularities in accounting materials.5) Answers the telephone in a polite and courteous manner. Forwards calls, takes messages and delivers those messages to appropriate personnel.6) Completes direct inquiry sheets on prospects.7) Monitors Community guests’ & visitors’ entrances/exits in accordance to Community policy and procedure.8) Maintains security of equipment in the business office.9) Performs other office work as assigned.10) Performs other tasks as assigned by any member of management.Job Qualifications1) Ability to read, write and speak English fluently.2) Ability to speak clearly on the telephone and maintain pleasant presence and tone of voice while interacting with visitors, residents or staff.3) Ability to type 40-45 WPM and operate computer system with knowledge in word processing and spreadsheet software.4) Maintains acceptable attendance record; notifies supervisor if late or unable to work, is able to work flexible hours to meet the requirement of the job.5) Requires minimal supervision. Is a self-starter.6) Is accurate, dependable, neat and thorough in assigned tasks.7) Organizes and utilizes time appropriately; sets priorities to accomplish assigned tasks.8) Displays mature behavior and attitude in speech and action; demonstrates consistently pleasant demeanor, tone of voice, supports the philosophy and approach to care used by the facility.9) Keeps resident information confidential; respects resident rights; respects privacy and right to self-determination of residents.10) Interacts in a professional manner with the public, residents and staff; works co- operatively with administration and displays willingness to assist co-workers11) Abides by established policies and procedures of Community. Looks for ways to improveCommunity functioning; keeps Community information confidential.12) Keeps work area neat and clean; helps maintain the appearance of Community.13) Ability and willingness to learn quickly.Other Requirements:Clerical and telephone answering skills required.
