Aging and People with Disabilities (APD), part of the Oregon Department of Human Services , is currently looking for ONE permanent, full-time, dedicated and compassionate individual to provide services as an Office Specialist 2 .

ABOUT THE PROGRAM
WHAT YOU WILL BE DOING
In this position you will provide general clerical, technical and other supportive duties in support of the local Aging and People with Disabilities offices composed of eligibility workers, case managers, supervisors. These efforts enable staff to achieve the Agency’s mission.
Job related decisions are made concerning: planning and prioritizing own work, determining appropriate formats for creating various documents, how (and what) to respond to a variety of inquiries, and when to involve a supervisor when presented with situations exceeding employee’s capacity to respond appropriately.
Major duties include, but are not limited to:
Coordinator for homecare worker payments
Repetitive data input to generate, revise and/or pay homecare worker vouchers. Resolve payment discrepancies and other voucher issues. Maintain and monitor homecare worker message phone line, respond to inquiries and follow up on requests for duplicate vouchers, etc. Work closely with homecare workers, case managers and case aide to ensure accurate and prompt homecare worker payments. Maintain and data entry to various logs and/or spreadsheets.
Point of Entry.
Provide quality customer service over the phone and to visitors in the office. Screen and determine who the person needs to see and if they are not sure, help determine who can best help them. Assist people as appropriate, i.e. if they need a copy made of a document to leave for their worker, the person in this position should make the copy and route to the worker. Front-end scanning, Setting tasks, Scheduling appointments and adjusting the schedule as needed. Responsible for/receipts all monies received, including pay-ins, license applications, returned checks and cash. Issues and accounts for EBT cards. Schedule appointments for renewal of benefits. Distributes incoming state mail and maintains PO/State returned check log. Recognizes when an emergency might exist and routes calls to a supervisor if worker is not available.
WORKING CONDITIONS
Office environment with daily use of personal computer. With regular face-to face contact with customers who may be frustrated, disoriented, or hostile persons and exposure to a variety of physical and sensory situations, i.e. people who smoke and wear fragrances. Workers may have exposure to infections and diseases. Employee may be required to use a state vehicle to conduct business; must have a valid driver’s license and acceptable driving record or be able to provide a suitable alternate method of transportation. This position requires the ability to work as part of a team and on multiple tasks simultaneously, sometimes within short time frames.

THIS IS WHAT YOU NEED TO QUALIFY:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents. OR
An Associate degree, OR
Graduation from a private school of business with a certificate AND one year of general clerical experience.

Essential Attributes:
Experience working in an office setting directly with customers who are socio-economically disadvantaged and may be culturally diverse.
Experience accurately maintaining financial logs, working with facts and figures, receipting money.
Proficient at using Microsoft Office products, i.e. Word, Excel, Outlook.
