Administrative Assistant 1
Summary/Objective
Performs a variety of duties which include written and verbal correspondence, meeting and calendar management, coordination and arrangement of domestic and international travel, develop and implement technology solutions.
Communicate professionally and confidently; close collaboration other Executive Assistants; Chiefs; and executive leadership. Approach challenges with a positive and solutions-minded perspective. Organize, manage and analyze multiple calendars and complex global travel arrangements. Embrace new technology and help identify opportunities to utilize technology. Able to anticipate the needs of the President and Bank leadership team. Take pride in thinking one step ahead for the people you work for, solving needs before they even arise in their minds. Coordinate meetings, activities and communications on behalf of the President. Uncanny attention to detail in all aspects of what you do. Partner with administrative teams across the organization on various projects. Serve as a partner and advisor for internal Executive Assistant community.
Essential Functions
These are the functions focused on a daily basis. Make a list of daily tasks, organize them into groups; identify each group as a key responsibility. List what the responsibility is, not how it is accomplished.
Perform a variety of administrative duties for an active Executive, including, but not limited to:
Plan and assist with events, large meetings and various projects including Board of Directors meetings.
Coordinate with Head’s direct reports for various projects, routine and ad-hoc reports.
Manage heavy scheduling of appointments with senior-level professionals; both internally and externally.
Take ownership of coordinating travel arrangements, domestically and internationally.
Serve as point of contact to team and Sr. Executives on department-related matters.
Assist with the budget planning process and help coordinate budget forecasts.
Craft, proofread and/or edit and send company-wide correspondence on behalf of Executive.
Prepare reports and presentations using PowerPoint, internal databases, and external resources.
Process expense reports and invoices; partner with A/P and Purchasing departments to ensure timely payments.
Handle a variety of phone, email, in-person etc requests by researching information and conducting some analysis.
Partner with teams across the organization on various projects requiring coordination efforts.

Knowledge
Must be proficient with MS Office suite; strong Outlook, PowerPoint, and Excel skills preferred.

Strong attention to detail.
Out-of-the-box thinking and ability to be innovative and strategic in finding solutions.
Event planning skills are preferred.
Ability to anticipate change and pivot efficiently and expeditiously around logistics.

Communicate effectively with people of all levels across the firm.
Excel under pressure and with changing deadlines.
Maintain composure and calm demeanor in variety of challenging situations.

Required Education and Experience
Minimum undergrad degree preferred.
A minimum of 5+ years of responsible administrative support in a dynamic fast-paced environment.
