Job Description : Job description – Facilities/Admin Specialist

Roles & Responsibilities:

Managing on-site mechanical, electrical, plumbing installation, and civil maintenance. As the go-to person in all things technical, keep the Company up to speed on operating and utility costs. Aside from these, need to monitor the maintenance practices of our contractors to ensure that their scope of work is aligned with manufacturer recommendations and our preventive maintenance standards

Will oversee the repair and maintenance of cooling and heating systems, plumbing and water supply, electricity and lighting fixtures, and other equipment and supplies. Moreover, he will be in charge of performing routine inspections, inventory, and documentation of these systems. Provide support to the Facility Manager to ensure critical operational items are attended to within agreed time frames

To assist with the site audits and ensure timely training & reporting thereafter for MEP, Housekeeping, Pantry Boys, Cafeteria staff, etc. Prepare weekly shift/duty rosters and ensure all processes are followed as per the Standard Operating Procedures
Ensure enough consumables stock is maintained on-site & any shortfalls to be reported to the site lead
Processing of all invoices for payment – first take approval FM and then submit to MIS and billing department.
Monitoring of all MEP, housekeeping, pantry, stationery consumables and ensuring reordering and maintenance of Billing Tracker.
To prepare the snag list soft copy date wise and coordinate with BMS, housekeeping & Landlord to close the noticed points and that the appropriate vendor escalation process is followed
Proper check on photocopier machine
Checking H.K, security, and technical staff’s attendance daily.
Coordinating for Medical Emergencies as and when required and ensuring immediate response to priority Calls.
Coordinate with Front Office/receptionist regarding the arrangements of the day, oversee the Front office Function during the shift. Ensure Visitors are promptly attended by FOE
Oversee the Mailroom process during the shift.
Cafeteria management and food testing before breakfast/lunch/dinner starts
Parking management
Sustainability: help FM in updating facilities assets not only to improve sustainability but also boosts efficiency and lowers costs
Locker management: allocation of lockers to the employees and maintaining a tracker of the same
Security: managing access control and CCTV cameras
Travel related assistance for the employees (i.e. tickets, visas)
AMC: maintain a list of the equipment which are under an annual maintenance contract and ensure timely renewal

Education And Experience

Graduate in any discipline
5 – 8 years experience in facilities management
Extensive knowledge on HVAC, mechanical, electrical, plumbing installation, fire & life safety and civil maintenance. As the go-to person in all things technical
Computer Literacy: Microsoft Office applications (Outlook, Excel, PowerPoint, and Word).
Proven ability to function effectively as part of a team
Proven ability to initiate and follow through with improvement initiatives
Good communication skills as the candidate will have some interaction with a range of internal and external audiences, which includes senior management, employees, vendors, and consultant
