Job Description
Sr. Facilities Manager
Summary/Objective
Reporting to the Associate Director, Workplace Services – India GDC, the Facilities Associate is responsible for ensuring both internal and external clients receive an extraordinary client experience; the office(s) are presentable at all times; and the facilities are well maintained. Acts collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation. Demonstrate leadership, responsiveness and creativity in finding solutions for service delivery. Manages day to day facilities operations functions and onsite staff.
Essential Functions
Facility Operations: Building Services
Resolve issues associated with select building services including but not limited to Janitorial, Pantry/Coffee Services, Vending, Security Badges, Copiers, Furniture/Furnishings, Fixtures, Equipment, HVAC.
Facility Operations: Space Management
Manage seat and room allocation, work with office leadership to resolve issues and qualify requests, confirm allocated seats weekly for all new users, ensure database is up to date with floor plans and allocations, enforce space management policy in office, escalate when seating can’t be allocated for any reason, and request allocation and utilization reports on demand.
Facility Operations: Facilities Work Ticket / Email Box Management
Oversee/Escort vendors on site including approval of work and time to completion, take action, upon request, to resolve outstanding items, ensure email ticket has minimal impact on business operations during peak hours, maintain communication to internal clients regarding maintenance activities and schedules, immediately communicate to Director of Facilities Operations any issues or concerns, and follow up with clients and vendors to ensure satisfaction.
Facility Operations: Facilities Inspection
Address security issues, ensure all doors and readers are functioning properly, ensure building security is following policy and procedures, ensure security policy is being enforced.
Facility Operations: Cleanliness, Restacks and Moves
Monitor performance of cleaning crew per contract. Submit complaints when outside of compliance, recommend additional cleaning when needed directly to vendor, direct and oversee restacks and moves.
Office Services
Ensure that all kitchen areas are clean and orderly, ensure that all restrooms are clean and stocked, maintain the operation of distributing all incoming mail, maintain the receiving and notify users of package deliveries, track and manage all incoming/outgoing shipments (USPS, FedEx, UPS), manage office and kitchen supply inventory, manage office supply spend, manage kitchen supply spend, follow order and approval process for all purchases, and create and maintain Access Database.
Event Management
Support and assist in the planning of internal events, communicate onsite and offsite events through email, manage the setup, stocking and clean up of events.
Conference Room Management
Support internal and external client with conference rooms and/or Guest Office, catering – work with internal client to ensure prompt delivery and quality, manage teams that setup, stock and clean up events, request office supplies and refreshments for meeting, AV needs, connectivity, communicate to IT resources for assistance, resolve conflicts with reservations, as needed.
Knowledge
Sound and expert knowledge in required in occupancy and human factors, operations and maintenance, sustainability, facility information and technology management, risk management, communication, performance and quality, leadership and strategy, real estate, project management, finance and business.
Skills
Strong communication skills both written and oral, strong organizational skills, must be self-starter and work well with minimal supervision, must be willing to work beyond 40 hours when required to meet company and customer objectives, proficiency with Microsoft Word, Powerpoint, Excel, and Outlook required.
Prior experience in a multi-faceted and fast-paced environment is preferred.

Ability to work independently and part of team, follow established processes and procedures and liaison with other teams at SVB.
