What you’ll be doing

We are looking for a high caliber Contracts Administrator to join our award-winning legal team. The successful candidate will manage Hitachi Vantara’s contract lifecycle management (CLM) business processes and systems on behalf of the legal team for the Hitachi Vantara global business operations. The role will require the administration, organization, preparation, and review of various contracts with our company’s customers, suppliers, and other counterparties, including non-disclosure agreements, master product and services agreements, amendments, and associated documents. This includes supporting the business teams in the preparation, completion and execution of contracts using the CLM processes and entering, validating, and maintaining metadata in the CLM system repository and template library.

The successful Contracts Administrator will be business process oriented and demonstrate strong organizational skills, strong attention to detail, with the ability to manage multiple projects and tasks concurrently. The ideal candidate has previous experience with contracts administration, and is familiar with legal requirements for contract drafting, contract reviews and contract research. The Contracts Administrator helps to ensure that all contract administration functions conform to applicable law and meet our company standards.
Responsibilities

Support the sales and business teams in preparing contracts and seeing contracts through to full execution utilizing the CLM and legal template library and electronic signature processes
Manage intake of new contract requests, identify and coordinate assignment of requests to appropriate legal department members within the global Hitachi Vantara team
Manage contract review cycles, obtaining legal and other required approvals in accordance with company approval and signature policies
Assist with enhancing CLM functionality through the development of a “fall-back” clause library for key templates
Maintain an organized system of in-process and executed contract records, contract template libraries and supporting playbooks
Maintain systems to identify and track contract non-standard terms to support compliance
Monitor contract deadlines (expirations, renewals, termination requirements)
Assist the legal team in the development of contracting processes and implementation of legal contracts management software; identify opportunities for continuous improvements to speed contracting process and enhance customer and stakeholder contracting experience
Respond to internal contract inquiries; assist internal business partners in understanding contractual requirements.
Collaborate with stakeholders to manage prioritization of documents in legal review and negotiation
Oversee due diligence research of new contracting parties to support Third Party Risk Assessment process
Assists in transition of customer contracts after corporate acquisitions
Support ad-hoc legal department and cross-functional projects
Provide general support and assistance to the legal operations team and legal counsel, as necessary, including the preparation of customer lists with common key clauses for security, financial) and other business purposes

Prepare CLM operational reports (monthly, quarterly, annually

Qualifications:

A team-oriented professional with a global perspective and a strong focus on service delivery
3 years of contract administrator and/or paralegal experience
English language proficiency, with excellent written and verbal communication skills
An understanding of contracts, contract governance and the contract lifecycle
Ability to productively interact with all levels of employees and leadership; effective communication, negotiation and interpersonal skills; adept at relationship-building
Excellent time-management and organizational skills with a focus on the details
Critical thinking skills and the ability to understand fundamental legal and commercial concepts
High levels of concentration, creativity and problem-solving skills
Ability to work well in a fast-past environment and to prioritize multiple concurrent requests
Proficient computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, DocuSign; familiarity with CLM systems is a plus
High degree of personal and professional ethics and integrity, with the ability to handle confidential and sensitive information with discretion
A desire to gain an understanding of, and to be passionate about, Hitachi Vantara’s products, services and business
