Job Description : Job Purpose: Events by DNATA (EBD) is a new division within DWT. This division has undertaken to contract the handling of major Events, Exhibitions and Incentives trip deliveries. These projects are handled both in Dubai and select countries abroad EBD provides both marketing / distribution and travel related support to their clients based-on annual contracts. To provide operating and administrative support to the Events unit, which will entails assistance with negotiating & contracting when required, handle basic costing, client queries, bookings and ‘on-site’ customer service functions. Job Outline – Provide administrative support to organise and implement the operating procedures in this division for easy access of the information by the job holder, to answer queries & provide statistical data to the department. – Negotiate and contract the most competitive rates per event with hotels, airlines, transport companies and other travel related service providers. This function is done independently in the absence of the Snr. Event Executive. This is in order to get the best deal in EBD, the acceptance of the agreement will be done by the SEE. – Coordinate and provide back office support for all activities involved in promoting, marketing, operating and administrating each event, exhibition or incentive inquiries (e.g. obtaining databases, promotion material) in order to ensure timely & accurate completion. – Independently handle basic costing of exhibition &.events except incentive inquiries and upload the information accurately into ‘EVE’ – The EBD management & reservation system. In order to ensure accuracy of the system. – Handle basic / simple client esquires, client correspondence, make bookings with all vendors (hotel, air, visa, marhaba, `tours safaris & any other special requests) within parameters set by the Stir. Events Executive in order to ensure correct & accurate information is given to clients. – Assist in preparing the monthly status reports of each exhibition! event along with the Snr. Event Executive, in order to highlight the financial status, payment status and any other adhoc information that is required of each activity. – Record and compile feedback to the Snr. Events Executive from customers in regard to the services provided by the hotel and ground services in order to enable SEE to take action as appropriate. – Independently run the ‘on-Site’ travel office temporarily located at all exhibitions, events and convention locations in order to effectively handle & provide travel related services. This entails handling and providing travel related services to both participants and visitors.
Qualifications & Experience: Qualifications – Degree or Honours (12+3 or equivalent) Experience / Knowledge / Skills – More than 5 years in Hospitality – Experience in the travel industry. Out of which preferable in inbound travel or hotel industry or handling exhibitions, conventions etc. – Working experience in handling of all travel aspects of exhibitions, such as contracting with airlines, hotels and ground operators. – Capability of operating and handling all inquiries and ability to package. – Knowledge & Skills Excellent communication skills. – Ability to deal and negotiate on all levels. – Pleasing personality. – Excellent English written / spoken. – Working knowledge of PC packages MS Word / Excel & preferred Access – Valid U.A.E. driving licence of additional help.
