Position : Administrative Assistant
Job Description : OVERVIEW:
Works directly under the Director, Weber Public Defender Group (WPDG) and Executive Administrative Assistant, performing a variety of routine and specialized tasks, requiring advanced knowledge of office management, computer skills and interrelated department policy and procedures.
YOUR RESPONSIBILITIES:
Perform Duties as assigned by the Director and Executive Administrative Assistant, including, but not limited to:
Routine administrative tasks as assigned.
Coordinate and assist in managing Director’s calendar, coordinating meetings, and presentations.
Coordinate meetings and policy implementation under the direction of the Director with court staff, judges, county attorneys, law enforcement and other appropriate agencies.
Work with inter-office and county department personnel as directed to ensure cooperation and appropriate functioning between departments and WPDG.
Work with the Executive Administrative Assistant in gathering and imputing data, generating spreadsheets, reports and presentations.
Work with personnel of the State of Utah Indigent Defense Commission in implementing required data, records, reports and proposals.
Supervise office staff as directed.
Other duties as assigned.
ABOUT YOU:
Education: High school diploma or equivalent. Some college and/or post-secondary training preferred.
Experience: Two years of increasingly responsible experience in clerical and/or administrative duties. Experience must relate to the position to be filled.
Any equivalent combination of education and work experience.
Knowledge: Working knowledge of modern office practices and procedures; working knowledge of specialized duties required by the position.
Skills: Experience with Word, Excel and PowerPoint.
Abilities: Experience and adaptability in working with specialized software programs and ability to perform data input and analysis in specialized software programs under the direction of the Director, Executive Administrative Assistant and IDC personnel. The ability to follow written and verbal directions; ability to establish and maintain effective working relationships with members of the WPDG Team, other departments and the general public.
YOUR SPECIAL QUALIFICATIONS:
Must be a notary and/or qualify to become a notary. Must be very proficient in MS Office Suite (Word, Excel & PowerPoint). Advanced skills in creating spreadsheets, charts and graphs and presentations using MS Office Suite is a plus. Must have good oral communication and organizational skills, writing skills and typing skills of 40 WPM or better.
