JOB DESCRIPTION
Position: Administrative AssistantReport to: Executive DirectorLocation: Colorado Springs, Colorado
Position Summary:
Performs administrative and office support activities for the national office. Duties include fielding telephone calls, data entry, filing, scanning and other administrative duties as required.Microsoft Office software skills are required as well as strong communication skills. Reports to the Executive Director (ED).
Responsibilities:

Primary phone coverage (first to answer all incoming calls). Handle all inquiries within capacity
Sort and distribute incoming mail – Prepare and mail all US/UPS/Fed Ex packages.
Oversee all aspects of publication orders including inventory and maintenance of inventory
Oversee all administrative aspects of seminars including registrations, confirmations, certificates, badges & evaluations, preparation and mailing of materials to seminar location
Assist ED in processing annual symposium registrations
Transportation liaison:
Coordinate travel arrangements
Develop itinerary, trip file and arrange supplies
Complete expense reports after trip
Maintain general files
Assist with bookkeeping/accounting functions as needed
Digitally file responses to telephone and written requests for industry information
Assist ED in developing and instituting methods for quality control and accuracy in membership, conference, and other databases
Inventory and track off-site storage
Data Management
Update lists
Meetings:
Prepare agenda in advance
Arrange meeting facilities
Prepare action minutes
Perform other related duties as assigned

Education and Experience

High School degree: Associate Degree in Business Administration is preferred
1 year experience working in an office environment

Knowledge of office management systems and procedures
Working knowledge of office equipment
Excellent written and verbal communication skills
Interpersonal Skills – Must maintain a professional, personable attitude at all times
Polished and friendly telephone manner
Proficient in MS Office
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Strong organizational, planning and follow up skills
Ability to Multi-task: Demonstrates initiative and ability to meet deadlines and work on several tasks simultaneously
Confidentiality: Assure discreet handling of all business

Hours Required: Average 32 – 40-hours workweek: occasional evenings and weekends may be required

The usual environment is in a business office with a noise level in the work environment that is usually quiet to moderate. Less than 10% of the time, travel is required and associated with events (ie: annual symposium) and thereby will be exposed to conference environment with a high noise level.
Remote work requires hi speed internet connection with sufficient speed to download and upload filed quickly
