About the role
Canadian Blood Services is looking for a Temporary Full-Time Coordinator, PPRP Formulary to join our dynamic Plasma Protein & Related Products team. The work of a Coordinator, PPRP Formulary is integral to Canadian Blood Services role as Canada’s Lifeline.
Reporting to the Director, PPP Formulary, you will be responsible for the development, implementation and monitoring of the administrative and financial reporting systems for program initiatives that support the overall business objectives. You will also identify and implement improvements to processes and systems to enhance the efficiency of the department. You will provide support for all groups within the communications department, as well as facilitates efficient operation of the Director’s office while providing effective customer service to individuals internal and external to Canadian Blood Services.
Responsibilities:
Participates in operational activities related to PPP Formulary and provides administrative support to team members.
Makes travel arrangements and prepares expense claims for team.
Assists with administration of contracts and purchase orders.
Performs all tasks required to ensure the effective support of the office
Prepares reports as assigned for leadership team and maintains related databases
Manages elements or components of project(s) or initiative(s) and assists with the development and coordination or larger projects.
In collaboration with the finance department and the Director, PPP Formulary provides efficient and effective financial coordination and administrative support to the department.
Schedules all operational team meetings and other departmental special events. Ensures progress reports are completed, reviewed and actioned.
Leads the coordination and administration of services and programs by researching and compiling information, preparing/formatting stakeholder correspondence, creating and maintaining various databases and files.

Participates in logistical stakeholder coordination activities related to Plasma Protein Products Formulary.
Creates documents and may conducts research in support of departmental activities/initiatives
Schedules and coordinates the logistics of external advisory committee or internal operational meetings and assists with the preparation and distribution of meeting documents.
Monitors and deals with incoming and outgoing communications as appropriate to provide effective customer service to internal and external clients at all levels or any documentation that may be created by other team members.
Maintains a thorough document management system that ensures decision documents are readily found and referenced.
Provides input into the development, enhancement and/or streamlining of services or processes in order to maximize efficiency and quality of service being provided to external stakeholders.
Performs other related duties as required.

Qualifications:
Community College Diploma or Certificate in Office Administration or Business or a related field.
A minimum of three years related administrative work experience; experience within a unionized environment is an asset.
An equivalent combination of education, training and experience may be considered.

Demonstrated Knowledge, Skills and Abilities:
Thorough knowledge of office routines and protocols
Effective written and verbal communication skills.
Demonstrated ability to organize work effectively and set priorities.
Computer literacy is essential, with proficiency in the following software packages desired: MS Outlook, Word, Excel, Powerpoint, and other related software programs. Working knowledge of SAP is an asset.
Ability to work independently with minimal supervision.
