Position : Executive Assistant – Athletics

Job Description : Provides executive-level administrative support to the Vice President and Director of Athletics; serves as a liaison between the Vice President and other administrative offices including the President’s office and the Advancement office, campus administrators, college community, city community, Ed. Robson Arena and colleges and conference offices; strategically organizes and manages the Vice President’s complex calendar (appointments, events, requests and activities); assists in planning of events and helps maintain the operating efficiency, customer service and integrity of the department of athletics and recreation. Assists in managing a complex meeting and travel schedule. Manages department meetings and special events as assigned.
Anticipated Salary Range: $20.73 to $27.46 per hour ($43,111 to $57,123 per year)
Responsibilities: Provide oversight to manage a complex meeting schedule for the Vice President, and coordinate meetings with internal and external parties. Assist the Vice President by providing information regarding the meeting and/or persons involved in the meeting. Answer calls and receive and relay messages on behalf of the Vice President. Prepare routine correspondence; provide resource material and/or drafts for both internal and external constituents. Help ensure that office operations are in compliance with policy provisions and standards. Answer questions or determine proper referral of problems and inquiries. Manage and be responsive to incoming requests for meetings and events with Vice President involvement. Maintain excellent customer service and assist in the accessibility of the Vice President. Manage sensitive and confidential correspondence and issues and provide background information related to such matters to the Vice President and his or her direct reports. Compose emails, letters and memoranda in an accurate and timely fashion and conduct quality control of correspondence from the Vice Presidents Office to ensure thoroughness and accuracy. Perform considerable liaison and problem-solving duties as necessary between the Vice President and those within the college community and/or external parties having business with the Athletics and Recreation department. Work with the Director of Business Operations to reconcile the Vice Presidents p-card transactions and expenses. Exchange information (some confidential) with colleagues, National Collegiate Hockey Conference, National Collegiate Athletic Association, Southern Collegiate Athletic Conference, Mountain West Conference and division employees. Coordinate event planning with the Presidents office, Office of Advancement and Alumni office and other college constituents, as needed. Assist as needed in travel arrangements for the Vice President Serve as a special events coordinator to include managing the Hall of Fame event and Annual Athletic Awards Event Provide administrative assistance to the department as needed Assist in greeting visitors, providing building tours and answering phones as needed Coordinate and oversee the athletic department calendar, including major events, programs, retreat, and vacation scheduling. Schedule and organize agendas for senior staff and department meetings and serve on senior staff. Assist in taking minutes and communicating follow up items.o Actively support the colleges commitment to be an antiracist institution by understanding, engaging with, and promoting diversity, inclusion, and equity in the college community.o Promote a culture of safety and environmental protection by working in a safe manner; immediately reporting unsafe situations and accidents; following college procedures; and participating in appropriate safety training.o Act in a socially responsible manner and model environmental sustainability by exercising financial prudence, using college resources wisely, and supporting ecological initiatives and innovation.o Perform other duties as assigned or requested.

Required Qualifications: Some college/associates degree plus minimum of five years of related experience in managing administrative, scheduling and events operations, exceptional administrative, communication, organizational and human relations and the ability to perform multiple tasks and priorities while maintaining a positive attitude; ability to develop strong working relationships with people from different cultural backgrounds; advanced level of computer proficiency includes the use of Microsoft Office programs (including Word, Excel, Outlook and PowerPoint) and ability to learn other department specific databases and software as needed.Additional requirements include ability to work independently, accurately, and with discretion and demonstrate a high level of resourcefulness, diplomacy, integrity, and professionalism in all aspects of responsibilities; must maintain the confidential nature of information and issues that arise in the course of the job; ability to work in a fast-paced environment with timelines and be able to navigate shifting priorities with ease; outstanding customer service skills. Ability to work evening and weekend hours as needed.
Preferred Qualifications: Higher education work experience and as an Executive Assistant.
