Job Description : HBSB Holdings is looking for a well-organized Executive Assistant to provide support to our CEO. The Executive Assistant provides essential day-to-day support to the CEO to ensure efficient operation of the growing Office. This position also oversees assigned Office support activities as required. The Executive Assistant will be responsible for providing administrative support to the CEO including, but not limited to, day to day operations, managing their schedule, meetings and travel. This position requires that you are highly organized, can juggle many tasks at once, not easily overwhelmed, and can handle a fast-paced environment. The Executive Assistant maintains and protects highly confidential information, and works independently with minimal supervision or direction. The Executive Assistant is a trusted and effective partner to the Executive team and a helpful and willing contributor to the Administrative team.
Job Duties:

Oversee our day-to-day operations, manage administrative assistants, and perform secretarial duties
Ensure office systems are efficient and effective including filing systems, schedules, budget, maintenance, and stock
Act as the point of contact among executives, employees, customers, and other external partners
Facilitate office policies and procedures, ensuring they meet our organization’s standards
Liaise with customers, service providers, vendors, and contractors, acting as the main line of communication
Utilities set up and coordination on new acquisitions
Manage complex and ever-changing schedule, proactively resolve conflicts before and as they arise, and ensure meetings are set in an efficient manner
Coordinate travel including air and ground transportation, hotel accommodations, and other reservations as needed
Prepare reports in a timely fashion, in accordance with company policies
Screen and direct phone calls and distribute correspondence for CEO
Additional human resources and office administration duties as needed
SOME TRAVEL and evenings may be required

Excellent verbal and written communication skills

Job Type: Full-time
Pay: $50,000.00 – $70,000.00 per year

Education:

High school or equivalent (Preferred)
