Job Description : Our Front Desk Administrator position is a highly visible and important role that assists in setting the tone for a successful, high-end luxury office. Job Specific Requirements

Prior Front Desk experience is preferable as an Administrator and/or strong background in a supporting role
Close working relationship with Office Administrator
Must be able to work well in a fast-paced environment with excellent attention to detail
Team player with a positive, results driven and solution-oriented attitude
Working knowledge of local multiple listing service(s) including DASH, LoneWolf and other internal systems
Excellent interpersonal, verbal and written communication skills and time management
Strong Work Ethic to handle multiple requests with exceptional follow through
Proficient in Microsoft Office Suite with understanding of Outlook

Job Responsibilities Include

Administrative support for the Office Administrator
Handle incoming phone calls regarding brokers, clients, showings and any other over the phone requests
Coordinate office supplies orders
Assist the transaction coordinators with maintaining office listings in MLS, DASH and other internal systems including price reductions
Assist with printing all property specific marketing materials such as flyers and temporary brochures
Managing the office’s day to day needs including monitoring the office hardware (light bulbs, doorknobs, printers, computer etc.) and reporting any office defects to the Office Administrator ASAP
Accepting incoming packages to the office and checking the office mail daily
Posting and managing all open houses and weekly tours for office via all platforms
Assist with greeting clients, restocking coffee Bar, Bathroom, lobby and work room supplies including printer/faxes/copiers
Assist brokers with additional support requests as needed
Other duties as necessary to ensure business operations run smoothly

Customer Service/Culture

Know and encourage the LIV Mission and Values
Encourage out of the box thinking with engagement between brokers and transaction services
Complete “presentation duties” for Primary office as applicable
Check for messages, turn on computers
Clean & stock coffee bar
Quick sweep/mop/dust when necessary
Maintain copies of newspapers/magazines/LIV magazines for display
Be sure E-galleries are up and running
Be sure all copiers/printers are full of paper
Greet all Brokers with authentic “How are you?” and an “I care and am here to help” attitude
Answer all office phone calls within 3 rings every time to ensure that we are not missing calls with professional greeting: “LIV Sotheby’s International Realty, this is…. How may I help you?”
Manage walk-in and call-in traffic – Greet all guests, ensure comfort while communicating with broker
All walk-ins are greeted immediately with all tasks set aside

Compensation & Benefits

Salary Range dependent upon experience
In addition to base pay, broker provides employees with the opportunity to select coverage under a comprehensive benefits program including medical, dental, life, accidental death and dismemberment, short term and long-term disability, 401(k) and other plans.
Full-Time employees are eligible for PTO in accordance to our Paid Time Off Policy.
Hours are 8:30AM- 5:00PM, Friday-Tuesday (weekends required)

Pay: $45,000.00 – $55,000.00 per year
