The company is a locally owned family business where employer endeavors to establish long term relationships with employees hired.Classification: non-exempt position under FLSA, over-time will be paid per Montana Employment Law.Compensation: hourly pay starting at $16.00Reports to: VP of Office Operations / Company OwnerDate: September 10, 2021Summary Objective: The Receptionist / Leasing Agent position is a dynamic, multi-faceted position assisting in all areas of the property management function, per the Essential Functions responsibility list that follows. A relational, people-intensive position, the employee will interface with prospects, residents, vendors, owners and co-workers throughout the day both in person, on the phone and in response to electronic media inquiries.Essential Functions: receptionist; rental inquiries; tenant service requests, complaints, and violations; other questions; posting rent payments; monitoring receivables and pursuing collections; processing work orders; general administrative support.Competency: Knowledge – solid computer skills and knowledge. Experience with current office technology: phone system, copying, scanning, printing, postage meter, email management, physical and digital filing, general office administration skills. Tech skills – experience with MS Office products: Word, Outlook, Excel; Google products: Google Docs, gmail, web-search skills; facility, intuitive learning skills and aptitude for web-based software; preference given to AppFolio property management software experience. People Skills – patience with people, ability to stay cool when client is unable to keep their cool. Ability to work as team member in a fast-paced, dynamic environment, able to ‘switch-gears’ based on immediate need. Preference shown for background in property management.Integrity: Honest, work ethic, ability to see project through to the end; ability to work as a team member, attitude to seek out and take on more tasks and responsibilities, make oneself useful. Clean background; may be required to be bonded.Work Environment: position is in open-office setting, seated in reception area, greeting people coming through door, able to work in open-office setting with frequent audio and visual distractions.Physical demands: sitting, standing, bending, minor lifting, as much as 30 lbs, some occasional travel within the Missoula valley,Position Type/hours: full time position, standard 8-5 work hours, 40 hours a week, occasional OT.Travel: occasional travel in geographic area where properties located (radius of 20 miles from Missoula). Employee will need to have working vehicle available to travel.Education: minimum HS graduate, preference shown for associate or college degree, higher preference for education or training in property management field.Responsibilities: Receptionist / Leasing Agent position responsibilities include the following:Receptionist – employee will greet and welcome all in-the-door traffic, the employee is the initial, first impression ambassador for the company, setting the pattern for the company’s future engagement with the contact. Employee will be expected to work patiently with all clientele seeking to take care of their needs, concerns or issues with a goal toward a positive outcome. Employee will promptly greet and welcome all incoming traffic with a smile and eye contact. Requests unrelated to job purview will be directed to the appropriate co-worker or the owner.Rental Inquiries, Service Requests, Complaints, Violations, Other Questions – Employee will timely handle all inquiries whether in person, over the phone or through electronic media. Employee will keep apprised of the status and timing of all vacancies. Employee will update and maintain the Current Listing Sheet schedule on a weekly basis. Employee will become knowledgeable of properties under management, educating oneself on the type, description, area of town and property amenities. Employee will issue keys to prospects per protocol and maintain key log.Posting Receipts – On a daily basis, employee will post drop off or mail in checks and money orders. Employee will become familiar with the type and frequency of receipts, learning how to post to proper account, handling payments charged to multiple accounts.Receivables / Collections –Following the fifth day of the month, employee will issue Pay or Quit notices as appropriate, working in conjunction with the ADEA owner / management.General Administrative – employee will assist in a variety of office tasks, ensuring smooth flow of information. Employee will become competent in AppFolio, developing knowledge and ability with the many areas of AppFolio’s features and reports. Employee will semi-annually or periodically scan invoices, rename and attach files in AppFolio system. Assist with mailings, delivering notices, providing AppFolio reports to owners, HOA board members and others. Other duties may be assigned to assist in the general flow of information need to provide quality property management service, as well as more property management related responsibilities as experience is gained.Opportunity!
