Job Description : JOB DESCRIPTIONJob Title: Venue Manager Job Category: Year RoundFLSA Status: Non-Exempt/ Hourly Position Type: Full time SummerPart time WinterReports To: Owner Supervises: Event Staff + VendorsPay Scale: $22.75 – 26.43/hrExpected Schedule: Varies – as needed – WeekendsPOSITION SUMMARYFoster Creek Farm is looking for an organized venue manager to handle the operations, maintenance, and bookings for our venue. In this role you will be required to, along with the owner, create venue pricing packages, secure bookings, liaise with event managers and clients, and coordinate the logistics of events. You will also be required to manage the maintenance of the venue .ESSENTIAL JOB FUNCTIONSTo perform this job successfully, an individual must perform these essential duties satisfactorily:Manage/host showings of propertyManage all bookings for events and liaising with the client to determine event requirementsPreparing venue hire packages and pricing options and negotiating with clientManage all maintenance and repairs of the venue grounds, property, equipment, and facilities. This includes but not limited to walk throughs on work days, road maintenance, garbage and other waste management, firewood preparation and up-keep, water system maintenance (change silt filters when necessary) Make sure tools, equipment, and all items used are put away after each event and work dayEnsure that the venue and facilities are clean and organizedSupervise all staff including groundsmen, event staff, and maintenance personnelScheduling and coordinating the rental of furniture, and other venue equipmentLiaising with catering services and supervising their requirements and logisticsPromoting the location and events through a variety of marketing channels such as social media. Work closely with the marketing firmSupervising the operations of events and tending to any incidents or queriesManaging all administrative tasks such as insurance, booking schedules, calendars, event book and work with bookkeeping company for invoicing. Manage TSheets, All-Seated and all apps used to run the businessPrepare information for bookkeeping and payrollManage timelines for events and list of vendors for the teamHost final walk-throughs to finalize inventory and placement at eventStage and outfit Glamping Tents, Barn, Suite, Cabin and Lodging for the season and eventsManage lodging, booking, housekeeping, pricing and lodging taxCommunicate and enforcing all security regulations and protocolsPost to social media by keeping current on Facebook, Instagram and Google MarketplaceMarket events hosted by Foster Creek Farm on social mediaCreate and implement promotional campaigns that bring new events to Foster Creek FarmsBrainstorm new avenues of creating revenue (movie night, pumpkin patch, etc.)Monitor and report on effectiveness of marketing practicesMaintain effective communication with OwnerGreet, interact, and direct clients, visitors, and vendors;Answer telephone, direct calls; take and relay messages; answer or refer inquiriesTreat each client/ customer / coworker with respect, friendliness and professionalismNetwork / maintain positive relationships with local vendors and industry leadersProfessional, prompt and courteous written and/or verbal correspondence with clients/ customers when scheduling and providing services;Respect Owner’s space as well as any staff on premisesManage bookings and calendarSend out contracts and invoices to clientsCollect payments, deposits and final balancesSend reminder emails 6 weeks before the client’s event. Include contract points such as: No dogs on property unless prearranged with owner – No motorized vehicles (ATV’s, golf carts, etc.) – Respect private areasWork with team to insure venue is working in the best capacity and continually working towards venue goals and growthMaintain compliance with all company policies and proceduresMust be willing to work weekends and events as neededCreate timelines for events and list of vendors to share with FCF team one week prior to eventAttend team meetings to discuss each event and necessitiesCo-cover weddings and events at FCF, including setup and walkthroughsAssist clients throughout their stayEnsure venue is ready for any eventPrepare the venue for events and different gatherings in the space. This will include the Saturday morning shift from 8AM – 3PM, once or twice per month during the busy seasonResponsible for event staff – hiring, scheduling, supervising.Complete each task assigned, including clean-up and putting away items in their proper space when completeUpdate as needed the vacation rental décorAll other duties and responsibilities as assignedAll decisions to be approved by OwnerEXPERIENCE AND EDUCATION REQUIREMENTS Minimum of a high school diploma or GEDBachelor’s degree in events management, hospitality, or similar preferredA minimum of 2 years experience with venue management and lodgingCombination of education and experience may be consideredAbility to multitask and remain calm in stressful situationsExcellent promotional ability and knowledge of marketing channels and techniquesSound knowledge of safety measures and risk management strategiesGreat interpersonal and communications abilitiesStrong negotiation skills and leadership abilitiesWillingness to work long hours and on weekends and holidaysPHYSICAL REQUIREMENTSThe physical demands described here are representative of those Essential Job Functions and must be met by an employee for successful performance.
