PAY AND BENEFITS
Annual Pay Range: $ 42,833.76 – $ 53,905.05
Hourly Pay Range: $ 20.593154 – $ 25.915891
Salary offers will be made within the posted pay range and will be based on a candidate’s experience (paid or unpaid) that is directly relevant to the position.

JOB DETAILS AND QUALIFICATIONS
Clackamas County’s Facilities Operations Division has an immediate opening for an Office Specialist 2.
This position performs administrative and clerical support activities related to the computerized maintenance management system, work order requests, contracts, and administering the ID badge system for county personnel. Frequent interactions with the public require the incumbent to have excellent communication skills. In addition, the selected candidate must be able to multitask in a busy environment.
Positions within the Facilities Division are considered essential personnel. Employees may be required to temporarily perform work that is not typically part of their regular duties.
Required Minimum Qualifications/ Transferrable Skills:*
At least two (2) years of administrative office support or clerical experience
Intermediate computer skills with Microsoft Office – Excel, Outlook, Word, etc.
Customer service experience
Work experience exercising independent judgment
Experience organizing and prioritizing projects and tasks
Knowledge of/and ability to use accounting practices as they relate to purchasing and accounts payable, budget, and contract procedures
Knowledge of basic accounting and bookkeeping systems, procedures and techniques, and financial terminology
Ability to process, examine, and proof complex technical documents and records for completeness and accuracy; interpret data for proper input to program formats
Understanding and knowledge of data entry and retrieval, principles of record-keeping, and principles of bookkeeping
Ability to assist staff in compliance with policies satisfactory to project completion and maintenance requirements
Ability to communicate orally and in writing, including conveying technical and procedural information to persons at all levels of ability
Ability to schedule and set up conference rooms
Ability to work with and maintain composure in stressful situations when dealing with the public, contractors, vendors, and other personnel in a courteous, professional manner
Must pass a criminal history check which may include national or state fingerprint records check

TYPICAL TASKS
Duties may include but are not limited to the following:
Administers computerized maintenance management system in the department
Receives work requests from the Facilities Department’s maintenance management system and telephone and assigns to the appropriate staff for completion
Verifies completed work orders and closes them
Assists coordinators in tracking requested and completed work
Assists departments in tracking the status of requests submitted
Maintains files for inventory, paint list, keys, and locks
Generates reports to track department productivity and other data as required
Acts as the initial contact for receiving shipments and directs them to the appropriate person and location
Prepares documents for distribution to include plans, contracts, work reports, and financial reports
Initiates requests for new trade-related services contracts and maintains vendor information
Maintains and distributes approved contractor lists for project use; maintains contract files for trade-related services and on-call contracts; and maintains contact with vendors and contractors regarding billing questions, work authorizations, and information regarding deadlines
Works with Facilities Administrator to request contracts and amendments for project work.
Tracks budget line items for available funds and appropriate expenditures monthly
Reviews and assists in the closing of construction and maintenance projects
Administers ID badge system for personnel
Emergency backup for Front Office, Conference Room Setups, and Lobby Staff at the Public Service Building and Development Services Buildings
REQUIRED KNOWLEDGE AND SKILLS
Considerable Knowledge of: Accepted office practices, procedures and techniques; Basic English composition, spelling, grammar and punctuation; arithmetic, clerical/accounting principles and processes.
Some Knowledge of: Techniques of supervision and training; concepts and techniques of prioritizing, organizing work; applicable program policies and procedures and/or rules, regulations and statutes depending upon assignment of duties and responsibilities.
Working Knowledge of: Office equipment, including computers and software programs and their functions/capabilities.
Skill to: Independently, accurately and effectively perform assigned tasks and duties following established procedures and program policies; establish and maintain effective working relationships with the public, staff, clients, and other personnel of other businesses in a courteous, professional manner; communicate effectively, both orally and in writing; effectively accomplish a variety of duties with competing priorities; apply related principles, policies and procedures to specific work assignments; skillfully operate office equipment and computer software; type at a speed necessary for successful job performance; teach other staff particular work assignments and the operation of office equipment.
WORKING CONDITIONS
Duties may include contact with individuals from varied socioeconomic groups or individuals who are hostile and/or emotionally distressed and in need of Clackamas County services.
Duties require frequent reaching overhead, kneeling, bending, grasping, fine motor control, the ability to lift and lower objects up to 35 pounds, and push 130 pounds, and frequent exposure to slippery surfaces and adverse weather conditions.
WORK SCHEDULE
This position is included in the County’s alternate workweek program, working 40 hours during a standard workweek of Monday through Thursday (Fridays off). Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended.
