Job Description : Director of Player Personnel – Football
Job Summary
The Director of Player Personnel reports to the Football Chief of Staff. This position is responsible to manage roster numbers for all prospective and current student-athlete(scholarship and walk-on). The Director of Player Personnel is also responsible for the on-boarding and off-boarding process of members of the official football roster. The Director of Player Personnel is comparable to the General Manager in the NFL and focuses on acquiring the top available talent and ensuring each position group is filled. This role is also mandated to adhere to all Department and University policies and procedures, as well as the rules, regulations, bylaws and interpretations of the NCAA.
Essential Functions

Manage roster and scholarship numbers

Balance Scholarship Numbers

Develop an annual personnel plan to fill the roster with top available talent at each position group
Work with coaching staff to determine position and class needs in each recruiting cycle
Keep records of current scholarship numbers at each position and inform position coaches of needs in their position
Ensure each side of the ball and overall team scholarship limits are at their required number
Create contingency plans to ensure that scholarship commitments can be met within NCAA limits
Keep accurate lists of outgoing players and incoming players to ensure scholarship limit stays at 85 each semester
Ensure needed available space for incoming mid-years matches with outgoing mid-year graduates
Develop a long-term scholarship plan to account for multi-year scholarships as program enters the Big 12

Monitor the academic progress of current student-athletes to evaluate graduation timing and departure

Work with football compliance director and Director of Player Development to determine academic progress and current eligibility
Make plans based on academic reports to replace outgoing players

Manage missionary departure and arrival

Communicate with incoming student athletes to determine their mission plans
Update War Room with accurate mission information
Inform coaches of missionary timing and returning players at each position
Balance return missionary roster space with other incoming and outgoing student athletes

Monitor the transfer portal and identify potential program additions

Responsible to identify players in the transfer portal that fit a position group need
Work with Director of Recruiting to implement a prospecting plan for targeted student-athletes in the transfer portal
Communicate with coaches potential fits from the transfer portal

Balance the overall team roster

Ensure the team roster stays at the required 123 players for Winter and Fall Semester
Manage each position group with position coach to ensure there outgoing player spots are filled with top talent available
Communicate with current student-athletes to determine their graduation, NFL draft, mission, or other plans to assist in roster planning

Manage student-athlete and recruiting database

Develop and maintain a high degree of competency with the War Room software program
Ensure War Room is up to date and all commit and current student athlete info is accurate
Ensure academic information is current and accurate for incoming student-athletes
Enter accurate scholarship information for student athletes on scholarship
Ensure each student athlete on the 123 roster is entered for the semesters in which they are on the team
Verify mission information for incoming student athletes and update it in War Room

Manage the on-boarding and off-boarding process for student-athletes

Develop and implement an on-boarding process for incoming student-athletes for all cycles of academic year (Winter semester, Summer Bridge, Fall Semester)

Ensure all steps in the on-boarding process have clearly defined timing and steps and other departments involved are informed of their involvement that process

Communicate report dates for new students during Winter Semester, Summer Bridge, and Fall Semester
Inform Sports Medicine, Equipment, Strength Staff, Academic Center, Fuel Card Rep, and Director of Video Services of incoming athletes each cycle (Winter, Summer Bridge, Fall)
Educate the incoming student athlete on football processes including class schedule, practice schedule, medical clearance process, fuel card/nutrition, university policies and procedures
Ensure incoming athletes complete all steps to start as a student athlete

Attend orientation
Obtain Student ID
Get medical clearance
Get locker room access, locker assignment, fuel card

Communicate important dates, new student information, and incoming athlete steps to players and their parents
Develop and implement an off-boarding process for outgoing student athletes for all cycles (Post-season, Post-Spring Ball)

Ensure all steps in the off-boarding process have clearly defined timing and steps and other departments involved are informed of their involvement in that process
Work with Director of Video Services, Sports Medicine, and Equipment to complete off boarding

Get ipad and other devices returned from player
Clean out locker space and return all hard gear to equipment room
Complete exit physical with training room
Remove locker room fingerprint access

Develop evaluation process for football summer camps

Identify prospective student-athletes in all age groups

Create internal tracking system for younger prospects
Coordinate with student staff to add prospects to recruiting database
Communicate with coaches to identify prospective student athletes during High School Camps

Mentor football student-athletes

Learn the names and develop relationships with all football student-athletes
Serve as an advocate for student-athlete well-being and diversity
Serve as a resource and mentor for student-athletes

Work one-on-one with student-athletes to assist in their transition from high school and missions to BYU
Work one-on-one with student-athletes to help develop their leadership skills and work through difficult team, individual and family situations

Work with student-athletes who did not graduate from BYU to help them return and complete their degree
Create and implement individual development plans to ensure student-athletes’ needs are addressed and met as they relate to academics and/or personal goals
Help student-athletes acclimate to their roles, both on and off the field
Help develop and maintain locker room cohesiveness

Special Assignments

Work closely with Director of Operations as needed on special assignments

Compliance

Be well-informed on NCAA rules
Have a working knowledge of and support and help ensure that football staff and coaches comply with the following:

NCAA and sport policies, specifically those related to the football
BYU Athletics and BYU policies and procedures.

Work with compliance directors to satisfy departmental requirements
Complete any necessary periodical NCAA forms

Education/Experience
Minimum education/experience required: Bachelor’s degree and 1 year collegiate or professional athletic playing/work experience or related field or equivalent combination of education/experience
Preferred: Master’s Degree and 5 years of Division 1 or Professional Football playing or job experience
