Position : Facilities and Operations Manager

Job Description : The Facilities and Operations Manager is responsible for managing and overseeing the day-to-day operations of the Pune, India office location. This includes office maintenance, oversite of employee activity programs, transportation and security services, managing purchase requisitions for all site services, vendor management of local suppliers and lease reviews. It may also include small facilities improvement or expansion projects at the Pune location. This position will manage the site receptionist.
Key Responsibilities & Duties:
Develops and maintains relationships and partnerships with customers, stakeholders, peers, business partners and direct reports, landlords and suppliers in support of the Pune site.
Reviews, and coordinates with Corporate, all lease terms/agreements, execution, and management of leases through renewal or expiration.
Manages all phases of development for small to medium construction and facilities improvement projects. Plans, prepares, monitors, and manages facility project budgets.
Physical Security: Management of physical security system, including badging system. Sets up transportation security that aligns with local/state/country rules regarding safety of women.
Provides support for internal and external audits impacting environmental and physical security controls.
Knowledge of local health and safety regulations
Ensures regular inspections occur at the facilities to identify safety, health, and environmental risks
Partners with Indirect Procurement on selection of vendors and contractors and ensures all work is completed satisfactorily. Monitors the performance of contracts to ensure compliance with applicable specifications and scope of work.
Collaborates with all functional leadership teams in Pune including but not limited to Engineering, IT, HR, and Finance to deliver solutions that support company growth and business goals.
Develops and maintains workplace standards including facility branding and brings a sense of community to the Pune location.
Understands and aligns with workplace strategies to help build a strong corporate culture.
Manages all vendors’ that “touch the building” including new building technologies, furniture, catering, artwork, plants, etc.
Maintains seating reservation app and assigned staff seats including expansion or rearranging, as needed
Manages any special Events or visitations or trainings held at the office from room setup, security, food orders, etc.
Participates in Pune Site Council meetings.
Qualifications:
Bachelor’s degree in Business Administration, Finance or Planning. Relevant experience may substitute for the degree requirement.
Minimum 5 years of responsibility for facility planning, building maintenance, safety and security, and project management experience.
Self-starter. Leads and directs with minimal input, good communication, delegation, and flexibility skills.
Must possess knowledge and vision to promote environmentally sustainable projects that reduce company’s carbon footprint and reduces costs.
Can read prints, specifications, and other technical documents.
Strong MS Office suite skills.
Able to determine and produce meaningful business metrics for the department.
Strong interpersonal skills and problem-solving ability.
Estimated travel – little to none expected.
