Job Description : Department: Operations
Reporting to: Sr. manager
Job Purpose:
The mission of the position of Manager Quality Operations (Pharmacy) is to ensure all aspects of quality management and will manage the development & implementation of standards, rules, and regulations within Pharmacy Operations. The Quality Manager is an integral part of the Pharmacy Business Team and will coordinate with other departments for promoting quality achievement and performance improvement throughout Pharmacy operations. This includes Patient Safety, Pharmacy Professional Practice, Regulatory Requirements, Quality Assurance, Customer Service, Staff Training & Development, Inventory Management, Financial Profitability, Loss Prevention, and Workflow Management. A person in this role should have progressive leadership skills and management experience along with knowledge of compliance and regulatory standards. He/ She should have extensive knowledge and experience in Pharmacy Retail Business Operations.
Responsibility for people:
Coordinates with peers, Department Heads, and external stakeholders for any operational needs of the organization
Responsibilities for financials:
Need to take prior approval from Department Head /Director for any kind of financial transactions.
Responsibilities:
Develop, implement, communicate and maintain a plan to bring the Quality system and policies into compliance with requirements at Health Stores and Warehouse
Formulate and manage the development and implementation of goals, objectives, policies, procedures, and systems. To ensure all procedures are performed in compliance with relevant standards and boards. (Pharmacy Council & DCO)
Development and monitoring of key quality indicators, key performance indicators of Pharmacy Operations in Branch.
Ensure ongoing evaluation and assessment of Operation process in Branches
Responsible for organizing and conducting internal/ external audits as per SOPs.
Supervises the operational area to promote continuous quality improvement, customer service, and employee satisfaction
Follow established procedures as per Pharmacy rules and regulations.
Develop, plan and manage key Pharmacy promotional activities/ campaigns to enable achievement of business objectives
Ensures information to customers is accurate, complete, valid, and clearly understood in terms of operational aspects.
Regular monitoring, auditing, and reporting on sales and business development
Develop and implement audit process within the function to ensure that all statutory, financial, operational requirements are met
Review and report stock details, pending items, non-moving items, expiry, and other store-related inventories to the Head of Operations
Ensure a compliant working environment with procedures, rules, and regulations.
Ensure that all employees adhere to departmental policies and procedures.
Perform audits on a routine schedule as per checklist, provides audit feedback & evaluation.
To ensure prompt response to incidents, complaints, malfunctions, inconsistencies by reviewing, investigating, and responding as per established procedures
Secure and manage data & records in accordance with company rules and regulations
Timely preparation and publication of reports in accordance with requirements
Ensure that pharmacy is adequately staffed with trained employees in accordance with company requirements and to meet customer needs. as per designed frequency and pattern.
Contributes to the development and modification/creation of training materials, documents, and manuals to ensure consistent and quality content to meet the needs of training
Conduct regular training needs analysis of employees with Head of Departments and deliver the training.
Education:
B. Pharmacy or M. Pharmacy or M. Sc, MBA (Operations Management) from a recognized university
Experience:
4 – 8 years of relevant experience in a premium company.
