Job Description : Position Overview

About the Position

As the Property Management Assistant, you will provide support to Real Property Specialists, Senior Real Property Specialists, and the Deputy Director. You will assist with many types of real property transactions, including disposition and/or acquisition of real property, property rights, space leasing and/or licensing for County Departments and Districts.

Position Qualifications

Education

Associates degree

Experience

Two years of experience providing administrative/clerical support to management and senior staff

Combined education and experience qualifications

An equivalent combination of education and job-related experience may be considered in substitution for the minimum qualifications.

Our Preferred Candidate has

Bachelor’s degree in Real Estate, Business Administration, or a closely related field
Two years of work experience in any of the following: acquisition of real estate; real property rights; title and escrow services; contract writing; government land operations; land planning; space leasing; property management; and database management Highly proficient with Microsoft Word and Excel

Essential Job Tasks

Communicates effectively both verbally and in writing
Works independently and in group settings
Processes (log, enter, route, deliver) documents of a routine nature such as purchase agreements, conveying documents, rights of entry, easements, deeds, and leases/licenses
Performs data entry to both the OnBase and RED General County filing system, responsible for organizing and maintaining the filing systems, creates physical and digital project files, and updates tracking logs
Attends and takes meeting notes for all meetings assigned, report writing, research methods
Audits files for closeout purposes
Reviews and processes invoices for work performed for assigned projects
Monitor’s status of Board meeting dates and Board agenda items, project timelines, deadlines, and other expirations, such as escrow closings, vendor assignments, and lease expirations
Manages the document execution and delivery process
Assists with drafting policies and procedures
Assesses workload and prioritizes tasks and assists Real Estate staff with various requests for research and/or actions
Participates in the ordering of title and appraisal reports along with monitoring the status of title and appraisal due dates and close of escrow dates
Maintains a positive professional working relationship with other employees, agencies, clients, customers, and the public
Participates in continued learning as requested

Working Conditions

Must be able to work in a typical, indoor office environment and occasionally outdoors in a project environment; must have the manual dexterity of hands and body to operate office equipment and motor vehicles; must be able to manage frequent interruptions, time pressures, high work volumes, multiple tasks, unscheduled tasks, team-oriented activities, potential interaction with government officials and the public; must maintain concentration, accuracy, ethical behavior and a professional demeanor. Must be able to file and lift/carry/push and/or pull 25 pounds.

Selection Procedure

Basic life and basic accidental death & dismemberment insurance equivalent to one times an employee’s annual base salary is provided at no cost, with the option for employees to purchase additional coverage including spouse and child life insurance. Disability insurance is available to replace a portion of an employee’s salary should they experience a short-term illness or injury. Retirement Eligible employees are covered by one of several State-sponsored retirement pension plans, including the Arizona State Retirement System (ASRS) and the Public Safety Personnel Retirement System (PSPRS). Additionally, there’s the option to contribute to a 457(b) Savings Plan that provides employees with a variety of investment opportunities. For those employees who retire from the County and from their retirement system, and have accrued 1,000 or more hours of sick leave, the County makes a $10,000 contribution to a Post-Employment Health Plan set up on their behalf to be used for payment of eligible out-of-pocket healthcare expenses. Group Legal Plan Maricopa County offers employees group discounts to purchase coverage for legal services such as adoptions, family matters, wills and trusts. Wellness Maricopa County’s Wellness Works program promotes health and wellness for employees and their families by focusing on physical activity, good nutrition, self-care and stress management. By meeting a set of criteria, employees and their families can get reimbursed for participating in a Weight Watchers Program.
