Job Description

Responsible for providing administrative support to the Vice President of Global Portfolio Planning and the Executive Director, GMNA Portfolio Planning. Work includes various clerical tasks (travel arrangements, calendaring, scheduling, etc.) involving the ability to make proactive decisions based on established policies and procedures. Clerical skills require a high degree of accuracy and coordination.

Responsibilities:

Conserve manager’s time by assuming administrative details.
Be a strong voice of confidence when representing Executives.
Able to relate to GM Executives on all levels.
Exercises independent judgement in managing ambiguous tasks with minimal input from staffs.
Scheduling meetings and maintain calendars.
Expedite handling of correspondence and phone calls
Arrange travel within the U.S. and globally, including passport & visa requirements and expense reporting.
Maintain dedicated conference room scheduling.
Ability to compose memos, letters to be sent in Executive’s names.
Manage multiple tasks at the same time with constant interruptions.
Maintain records, confidential files and GM specific reports.
Complete various assignments as requested.

Hybrid: This position does not require an employee to be on-site full-time to perform most effectively. The employee’s role enables them to work at a GM facility or off-site as frequently as needed or desired. This position requires an employee to be onsite 1-4 x per year.

Additional Job Description

Required Skills & Experience:

Minimum of 10+ years equivalent experience.
Demonstrated leadership skills.
Experience and confidence dealing with Senior Executives in an administrative capacity.
Strong interpersonal skills to work with all levels of the organization.
Solid analytical/problem solving skills with capability to identify solutions to unusual problems.
Flexibility – Must be able to quickly change direction throughout the day.
Proficient in grammar, spelling, proofreading.
Proficient in Outlook, Word, Excel, PowerPoint, Microsoft office suites.
Proficient in video conferencing, Skype conferencing, etc.
Demonstrated planning and organizational skills.
Highly proficient oral and written communication skills.
