Job Description : Position Overview:
Are you an experienced Executive Assistant who enjoys working in a fast-paced environment? Do you have a collaborative and friendly work style? Looking for a solid Executive Assistant candidate who will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. The role reports to acting CTO and supports the Product team and several VP’s and above. A successful candidate should be highly motivated professional with and excellent work ethic, ability to work independently and collaboratively in a team environment, a self-starter, have the ability to deliver high-touch proactive assistance to diverse managers, a strong ability to take direction and execute tight deadlines to ensure your success in this multi-faceted role.
Responsibilities:
Proactively provide support to multiple C-levels, SVP’s & VP’s executive schedules/calendars and contingency plans
Work in partnership with CTO, CPO and VP’s and above
Oversee, manages and books travel for VP’s and above and proactively coordinate the pre-planning of trips with various internal functions, including agendas and necessary contacts, information, and other necessary preparations,
Manages and coordinates all on-site and off-site meetings/events, VIP visits, and engagement activities
Catering, secure locations and setup, secure resources needed, coordinate hotel and transportation
Communicate agendas, maintain meeting minutes and action items
Organize and mange all high-touch meetings with numerous outside parties including vendors * personnel from other companies; ensure smooth meeting logistics and follow up.
Solid understanding of complex and global environment
Aid with recruiting such as assisting Talent Acquisition with booking VP’s & above calendars in a timely manner and on-boarding new team members
Prepare, edit and publish correspondence, communications, presentations and other documents as requested
File and retrieve documents and reference materials
Conduct research, collect and analyze data to prepare reports and documents
Manage department AMEX, C-suite travel expenses and with Finance to reconcile monthly billing
Liaise with internal staff at all levels, internal and external partners
Diagnose and determine process improvements within the organization
Perform confidential administrative activities with discretion and tact, and handle special project work
Other functions may be assigned as business conditions change and by management from time to time
Qualifications:
You take pride in being self-motivated, resourceful, organized, dependable, and being a team player
7+years of experience as Executive Assistant or Project Management supporting Executive staff, and proven ability to adapt to quickly evolving needs in a global enterprise environment
Direct experience supporting more than one executive staff person strongly preferred
Have very strong verbal and written communications skills as well as interpersonal skills
You thrive in an environment where we work independently and collaborate on teams
You have a point of view but are low ego and ability to be highly flexible, organized, and exude positive energy
Strong proficiency with all Microsoft Office products, especially Outlook, PowerPoint and SharePoint. Knowledge of Slack, Jira and Confluence a plus but not necessary
Proven success in following through and completing projects as well as ability to take initiative and ownership of projects
Meticulous attention to detail including excellent proofreading and copy-editing skills.
Ability to exercise sound judgment routinely and independently in making decisions
Strong integrity and discretions in handling highly sensitive and confidential information
Embraces relevant technology and actively improves his/her skills through informal and formal training
Ad hoc Project Management Skills is a bonus
Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, background, and orientation.
Contributes to the creating of a diverse, equitable and inclusive work culture that encourages and celebrates differences.
