Position : Lead Administrative Assistant
Job Description : Responsibilities
Under the supervision of the Clinic Manager, the incumbent works as a front and back office lead and is responsible for daily administrative staff workflow, maintain job standards and performance levels, answer staff questions and provides support to all departmental areas, focus and maintain high level of patient care. Works with the clinic manager to prevent and resolve personnel problems and complaints/issues. The incumbent works as a backup and covers staff shortage, will schedule general nuclear medicine and PET/CT procedures on multiple modalities for both outpatient and inpatient. Major duties include: Staff training, ensure daily duties are performed efficiently, implements performance improvements action plans, obtains appropriate authorization for office visits, procedures, therapies, etc., informs patients of their financial responsibility before their appointment, scheduling procedures, coordinating interdepartmental services (transport, anesthesia, EEG, etc). The incumbent will also handle special projects as assigned by Clinic Manager, including but not limited to creating and maintaining various reports to help track volumes and identifying opportunities for process improvements.
Qualifications
Working knowledge of medical terminology.
Ability to screen high volume of telephone calls in-person visitors effectively, so that they are referred to appropriate personnel or messages are taken accurately. Ability to speak on a one-to-one basis using appropriate vocabulary and grammar to obtain information from and explain procedures to patients either by phone or in person. Writing skills in English to prepare forms clearly, accurately, and legibly using appropriate medical terminology. Interpersonal skills to interact effectively and diplomatically with patients, public, staff, medical personnel and academics. Skill in interacting with persons of various social, cultural, economic and educational backgrounds. Understanding of the various hospital services, such as social services, and procedures for obtaining services, records and information. Ability to work independently, follow through on assignments, and complete work in a timely manner with frequent interruptions. Skill in working on a self-directed basis and following through on assignments with minimal direction. Ability to prioritize workload to meet conflicting demands and in setting priorities which accurately reflect the relative importance of job responsibilities. Ability to work as part of a team. Ability to set up and accurately maintain patient records. Ability to maintain confidentiality of patients. Ability to establish and implement working protocols for scheduling appointments
Leadership mindset. Working knowledge of Microsoft Word, Excel and Access. Ability to operate fax machine, copier, typewriter. Ability to train and supervise junior staff.
