Seeking a Full Time Office Administrator to cover a parental leave with the opportunity for this position to stay on.
Urban Catalyst is seeking a Full Time Office Administrator to cover a parental leave for our office, located in the heart of downtown San Jose.

Urban Catalyst manages real estate equity funds focused on ground-up development projects in downtown San Jose and other ancillary funds related to real estate. As both a fund manager and real estate developer, we are in a unique position. Our Office Administrator manages clerical and administrative tasks for Urban Catalyst’s office and Senior Executive Team. In this role, you will manage a range of office responsibilities that support continued successful business operation, including but not limited to booking travel and accommodation reservations, monitoring, and stocking the office with general supplies, daily office and kitchen upkeep, managing room bookings for meetings, assisting with the employee onboarding process, and coordinating with vendors to ensure Urban Catalyst employees have everything they need to work efficiently.
You will work proactively to identify areas within Urban Catalyst and the Fund that will benefit from improved processes and systems. As a result of your operations responsibilities, you will have the opportunity to help shape the way we run our growing business. You will work on various projects designed to achieve the goals of the Executive Team under the direction and supervision of the Chief Operating Officer. In this role, you will provide ongoing support for the Development Team, and assist our Investor Relations, Marketing, and external teams of experts in legal, finance, accounting, and compliance and other key departments to provide necessary support in these areas where requested.

In addition to your advanced-level administrative and organizational skills, you are agile, capable, articulate, and can embrace uncertainty in a fast-paced, rapidly growing Silicon Valley startup environment.
Interpersonal skills are your forte, which serve you well in your client-facing role. You are comfortable greeting everyone who walks through our doors, and your strength as an administrator is evident in your ability to balance projects despite shifting deadlines and priorities. You demonstrate your superb written, oral, and listening skills daily, and your ability to analyze and think strategically with respect to administrative structures and other related processes is top-notch. Communicating confidently with stakeholders at all levels, including your Senior Executive Team, legal, finance, accounting, and securities professionals, clients, investors, and their various representatives is straightforward for you.
What you’ll bring
5+ years of experience managing an office, start-up business environment preferred
Prior experience in the real-estate industry, the legal industry, or in the bank/finance/accounting industry a big plus
Excellent communication and organizational skills; able to communicate effectively to advance multiple projects simultaneously
Ability to identify what a situation needs and respond while involving others appropriately
Advanced knowledge of Google Suite and Microsoft Office Suite required, proficient with social media platforms, Slack, DocuSign, and Zoom preferred
