Job Description : Reservation ManagerJob Summary: Assist in leading the day-to-day activities of Hellgate Jetboat Excursions. Head the Reservations Department which handles the full Jetboat Guest Experience; from booking to boarding to purchasing souvenirs. Support and administer company policies and procedures. In tandem with other support personnel on duty, provide managerial oversight and technical assistance to the reservations staff.Management Responsibilities: · Cultivate a team environment that provides exceptional customer service.· Direct supervision of Reservations team—frequently leading boat loads.· Scheduling of reservation team to fit business needs.· Recruit, select, train, and monitor performance of direct reports.· Provides high-level support to the Director of Operations and senior management team; providing data and insight to assist in the management decision making processes.· Provides prompt and objective coaching and counseling for all direct reports.· Adherence to all trip related regulations (never exceeding allowed maximum passengers per boats, complete waivers for all passengers, etc.)· Verify deposits to cash reports before crew members close out their drawers.Essential Job Functions: · Assist with all the daily operation of the reservations team to ensure complete and positive experience for jetboat passengers· Leading Crew Stand-up at the beginning of all opening shifts: assigning the day’s roles to individual crew members· Maintenance of weekly Reservations Schedule in coordination with the Operations Manager· Working with the Director of Operations and Supervising Pilot on setting trip capacities and ensuring execution is in alignment with permit regulations· Supervision and daily execution as related to boat loading, photographs, handling of reservations· Works closely with Restaurant management team at the River Lodge to ensure dietary needs are met· Ensures accuracy in manifests· Communicate and coordinate easily with restaurant management team to ensure seating chart ease and accuracy· Fulfill reservation requests for individual parties, as well as groups, tour companies and school sponsored trips· Communicate in advance of contract booking departure dates with the group coordinator, to ensure commitments are met· May be required to act as first point of contact for Jetboat, Retail, and Food/Beverage customer incidents· Work with jetboat supervisor to delegate daily tasks that can be completed between answering phones, check-in process, and loading boats.· Model all the Reservations principles and practices with an educational approach.· Seek the highest level of positive customer care in greeting our guests and fulfilling their requests to the best of our ability.· Follow through on established policies and procedures with all group reservations completing contracts, collection of deposit and final payment monies, confirming final counts and follow up communications.· Secure company assets through property and inventory controls.· Be available to listen to all levels of customer concerns promptly communicating same to the operations manager and/or director of operations.· Phones: frequently answer multi-line phones and assist all callers in a fast, friendly, and accurate manner.· Photos: ensure pictures taken, edited, and available both online and in person by excursion’s return. Pre-prosses school trip photo requests. Ensure operational tablets, process and mail additional photo requests (such as enlargements.· Knowledgeable of opening and closing procedures.Other Responsibilities: · Immediately updates senior management team with employee issues, performance deficiencies, and unusual events or occurrences.· Assures that a positive employee relations position is maintained. Ensures that the company’s management principles, policies, and programs are consistently practiced.· Assures that effective communications are maintained within areas of responsibility. Where appropriate, informs employees as to plans and progress.· Work with the HRL to ensure passenger dietary needs are met.· Answer Guest emails per company guidelines.· Work with Hellgate office to design seating chart from final passenger manifest, each trip.· Ensuring/preserve excellent levels of internal and external customer service.· May need to work longer, irregular hours during the primary Jetboat season and holidays.· Open/closing shifts and duties.Required Knowledge, Skills, and Abilities (KSA): (Education and Experience): Prefer 3-5 years Supervisory experienceJob Types: Full-time, Part-time, TemporaryPay: From $19.00 per hourSchedule:10 hour shiftWeekend availabilityExperience:Supervising: 3 years (Required)Shift availability:Day Shift (Required)Night Shift (Preferred)Work Location: One location
