Job Description : Job DescriptionJob Title: Office ManagerReporting Relationships: CEOStatus: Full-timeHours: 8:00 am – 5:00 pmDepartment: AdministrationFLSA: Non-ExemptJob Summary & Purpose: Support our Management Team and perform a wide range of complex and confidential administrative and clerical support duties. This position demands great communication skills, flexibility, proactive logistics and efficiency, with demands and expectations prone to changing on a day-to-day basis.Major Responsibilities/Activities: Oversee all aspects of general office coordination to include but not limited to calendar administration, general clerical, basic record keeping, copying, faxing, email, mailing and general filing.Regular errand running for supplies, appointments, postal and various tasks requiring driving / transport.Create and modify documents such as reports and spreadsheets.Research and compile data to prepare documents for review and presentation by committees and Management Team.Provide personalized assistance to members of the Executive Team.Perform bi-weekly payroll reporting for processing by outside company.Take and maintain meeting minutes and notes for retention and distribution.Maintain records and help hold staff accountable for action items from attentions and other meetings.Recruiting SupportAssist with HR functions in-house and coordinate with outside HR firm.Schedule and coordinate meetings, appointments, travel arrangements for Management Team.Company Event PlanningActive contributor to company vision and goals including KPIs.Strict adherence to confidentiality of Management TeamWork safely and follow all safety protocols.Communicate effectively and work well with others.Coordinate scheduling with all outside vendors and techniciansMaintain standard office suppliesBackup support to other departments as needed to include but not limited to customer service, phone coverage, purchasing, miscellaneous production prep/assembly, and customer quotes/sales orders.All other duties as assigned by manager / supervisorMinimum Qualifications: High School Education with formal education / training preferredProficient in Microsoft Outlook, Word, Excel, and PowerPointFamiliar with basic office management and organization principles and practicesDemonstrated customer service, people, leadership, confidentiality, and organization skills with track record of achieving positive business resultsStrong interpersonal and communication skillsAdministrative experience within a manufacturing or production environment is strongly preferred.Must have the ability to multitask and manage details of different processes efficiently.Must have strong organizational skills.Must have strong oral and written communication skillsMust be able to work independently, seek answers when help is needed and motivated to seek out additional tasks for completion.Willingness to adjust to fast paced team and changing needsWorking Conditions: Work will be in shared office space in a typical office environmentPhysical Demands & Work Environment: Use of computer, phone, office equipmentOdor free environment (smoke-free, fragrance free)Long hours on a computer with typing and data entry.
