The Oregon Department of Environmental Quality has a full-time opportunity for a Director’s Executive Assistant (Executive Support Specialist 2) in Portland, Oregon.

The agency has 3 regional divisions (Northwest, Eastern, and Western), a Central Services Division (housed at Headquarters), a Vehicle Inspection Program, a Laboratory and Environmental Assessment Division, and divisions for Water, Air, and Land. This position is located within the Director’s Office.
What you will do!
You will provide administrative support to the Director’s Office and the Environmental Quality Commission by performing a variety of scheduling, planning, administrative and organizational, communications, and records management functions. You will also serve as backup support to the Deputy Director and provide limited support to the agency’s Diversity, Equity and Inclusion Coordinator and the agency’s Internal Auditor.

What are we looking for?
Minimum Qualifications: At least one year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.
Candidates who are most competitive will also reflect the following:
Experience providing administrative support and performing or coordinating office work for top level management positions of a complex organization, including coordinating scheduling of multiple partner entities, maintaining work plans for multiple and interrelated groups both within and outside of the organization, reviewing communications for clarity and tone, and working with citizen members of a decision-making body around meeting preparation and management.
Lead work experience; experience coordinating office procedures, including assigning and reassigning tasks, giving directions to workers, reviewing work of employees, and orienting new employees.
Excellent verbal and written communication skills; experience composing, formatting, and editing with appropriate grammar and punctuation; strong proofreading skills with an ability to pay attention to detail.
Proficiency using Microsoft Office products (Word, Excel, Outlook, Teams, and PowerPoint) and virtual meeting tools (Zoom and Teams).
Experience communicating with a variety of people, including legislators, agency/company partners, Governor, commission and/or board members, congressional members, the media, and the public.
Ability to work on tight deadlines in intense environments; strong organizational and time management skills, with an ability to switch priorities or projects seamlessly.
Demonstrated ability to respectfully navigate conflict and competing priorities from different parts of the agency.
Experience planning and coordinating meetings and events, including preparing agendas and taking meeting minutes.
Experience with records management, database management, and project management; experience with data research, collection, and analysis.
Ability to use individual initiative and judgment when interpreting guidelines and policies; experience resolving problems and making judgments and decisions that may be precedent setting with long range effects.
Working Conditions:
Work is performed primarily in an office. This position requires occasional travel on official State business for meetings, conferences, trainings, and public hearings, some of which may be held in the evenings and involve overnight stays.
