The Executive Administrative Assistant will provide administrative support to the legal team supporting GM’s Complex Litigation functions.

Responsibilities

Maintain electronic filing system and regularly update Team Connect system with case details and budgets
Assist in drafting and proofreading regular reporting
Assist with creation of meeting materials including PowerPoint decks and presentations
Coordinate and schedule meetings, manage calendars, and prepare agendas
Coordinate domestic and international travel
Prepare and submit expense reports
Provide general administrative and clerical support including mailing, scanning, faxing, and copying
Assist attorneys to prepare for meetings, including setup of phone, AV and telepresence
Manage office environment, including handling mail, ordering supplies, maintaining office equipment, etc.
Assist in resolving any administrative problems

Additional Job Description

Qualifications

A minimum of 5 years of relevant administrative experience in a professional office setting
Ability to work flexible hours, when needed
Knowledge and use of computer systems and related software (Team Connect, Document Management, Word, PowerPoint and Excel)
Ability to prioritize and make decisions within the scope of assigned authority
High level of interpersonal skills
High level of organizational, problem solving, and analytical skills
High level of oral and written communication skills
High level of confidentiality and ability to exercise discretion
Ability to work both independently, with minimal supervision, as well as in a team environment
Ability to handle multiple tasks simultaneously and meet deadlines
Easily adapts to new technology and seeks opportunities to continuously learn and broaden understanding of client and GM organization
Communicates effectively with various levels of Legal Staff, clients and external parties
Understands connection between role and broader team
Maintains a focused, calm demeanor under pressure
